1. Job Purpose
To provide administrative, coordination and marketing support for the Chamber Arbitration Centre, with particular focus on creating awareness about arbitration, mediation and other alternative dispute resolution (ADR) services among businesses, companies, professionals, advocates and trade associations.
The role will involve promoting the Arbitration Centre, generating enquiries and institutional users, coordinating programmes and maintaining effective relationships with arbitrators, advocates, corporates, Members and other stakeholders.
2. Key ResponsibilitiesA. Arbitration Centre Administration
- Handle day-to-day administrative activities of the Arbitration Centre.
- Coordinate with arbitrators, mediators, advocates, parties and other stakeholders.
- Assist in scheduling hearings, meetings and arbitration-related programmes.
- Maintain case-related administrative records and registers with strict confidentiality.
- Coordinate notices, correspondence and documentation as directed by the Centre.
- Maintain databases of arbitrators, mediators, advocates, corporates and institutional users.
- Assist in preparing reports, MIS and periodic updates for the management.
- Coordinate online/digital hearings and meetings where required.
- Ensure timely follow-up on administrative action points.
B. Marketing & Business Development of Arbitration Centre
- Promote the Chamber Arbitration Centre among corporates, MSMEs, industries, traders, qualified firms and business associations.
- Visit companies and organisations to explain the benefits of institutional arbitration and ADR.
- Develop relationships with CEOs, Managing Directors, legal heads, finance heads, HR heads and other decision-makers.
- Identify companies that may benefit from incorporating arbitration clauses in their commercial agreements.
- Generate enquiries and potential users for arbitration, mediation and other ADR services.
- Follow up regularly with prospective clients and organisations.
- Prepare and circulate information regarding the Centre's arbitration and mediation services.
- Develop proposals and presentations for companies and associations.
- Maintain a systematic database of prospective users and follow up on leads.
C. Arbitration Awareness Programmes
- Organise Arbitration Awareness Programmes, seminars, workshops and corporate sessions.
- Coordinate with companies, trade associations, professional bodies and educational institutions for conducting awareness programmes.
- Invite senior advocates, arbitrators, judges, legal professionals and industry experts as speakers.
- Promote programmes through email, WhatsApp, social media and direct communication.
- Maintain participant databases and conduct post-event follow-up.
- Identify organisations where customised arbitration awareness sessions can be conducted.
D. Corporate Outreach
- Develop a structured corporate outreach programme for the Arbitration Centre.
- Meet companies and explain:
- Institutional arbitration
- Mediation and conciliation
- Advantages of dispute resolution through an institutional centre
- Arbitration clauses in commercial contracts
- Digital/online dispute resolution
- Cost and time advantages of ADR
- Encourage companies to consider the Chamber Arbitration Centre in their contracts and commercial arrangements.
- Establish long-term relationships with corporate legal and commercial teams.
E. Membership & Association Outreach
- Leverage the Chamber's existing membership network to promote the Arbitration Centre.
- Coordinate with trade and industry associations in Coimbatore and neighbouring districts.
- Conduct dedicated awareness sessions for Chamber Members.
- Encourage Members to use and promote the Centre's ADR services.
- Identify potential institutional partnerships with associations and professional bodies.
F. Digital & Promotional Activities
- Prepare content for the Arbitration Centre's website, social media, WhatsApp and email campaigns.
- Coordinate preparation of brochures, presentations, posters, videos and other promotional materials.
- Maintain a database of companies and professionals for targeted communication.
- Develop regular newsletters or updates on arbitration and ADR.
- Promote success stories, awareness programmes and Centre initiatives, subject to confidentiality and approval.
- Assist in improving the online visibility and professional image of the Arbitration Centre.
3. Lead Generation & Follow-up
The employee will be expected to maintain a structured Arbitration Centre Marketing Pipeline, including:
Prospective Organisation → Initial Contact → Meeting → Presentation → Follow-up → Enquiry → Institutional User
Regular follow-up shall be undertaken with:
- Corporates
- MSMEs
- Exporters and importers
- Contractors
- Real estate companies
- Manufacturing companies
- Traders
- Professional firms
- Trade associations
- Advocates and legal professionals
4. Key Performance Indicators (KPIs)
Performance will be evaluated based on:
- Number of corporate/organisation visits and meetings.
- Number of new organisations approached.
- Number of arbitration awareness programmes conducted.
- Number of participants reached through awareness programmes.
- Number of enquiries generated for the Arbitration Centre.
- Number of prospective institutional users developed.
- Follow-up and conversion of business enquiries.
- Number of companies encouraged to adopt arbitration clauses.
- New institutional relationships established.
- Growth in awareness and visibility of the Chamber Arbitration Centre.
- Quality and accuracy of administrative coordination.
5. Skills & Competencies
- Excellent communication and interpersonal skills.
- Strong business development and relationship management abilities.
- Good presentation and convincing skills.
- Ability to interact confidently with senior business executives.
- Good written English; knowledge of Tamil is essential.
- Good knowledge of MS Word, Excel and PowerPoint.
- Familiarity with email marketing, WhatsApp and social media.
- Willingness to undertake corporate visits and field marketing.
- Strong follow-up and lead-management skills.
- Professional and discreet handling of confidential information.
6. Qualification & Experience
- Graduate in Business Administration, Commerce, Marketing, Law or a related discipline.
- 2–5 years of experience in marketing, business development, corporate relations, client servicing or institutional marketing.
- Experience in a Chamber of Commerce, trade association, legal services organisation, arbitration centre, law firm or corporate environment will be an added advantage.
- Candidates with exposure to arbitration, mediation, legal services or B2B marketing will be preferred.
7. Important Requirement
The position requires active field-level marketing. The employee should be willing to regularly visit companies, associations and professional organisations and personally promote the services of the Chamber Arbitration Centre.
The candidate should have the ability to build relationships, generate leads, make presentations and convert opportunities into users of the Arbitration Centre, while ensuring that all legal and professional communications are made only with the approval of the authorised officials.
8. Nature of the Role
This position is primarily responsible for building awareness, outreach and business development for the Chamber Arbitration Centre, along with providing day-to-day administrative and coordination support.
The successful candidate will play an important role in positioning the Chamber Arbitration Centre as a trusted institutional platform for arbitration, mediation and other ADR services for the business community.
Salary: Commensurate with qualification, experience and suitability for the role.
Pay: ₹18,000.00 - ₹21,000.00 per month
