Job Summary
We are looking for an experienced and responsible Admin Manager to oversee the organization's administrative operations. The ideal candidate will have strong leadership, organizational, communication, and problem-solving skills, along with hands-on experience in administration, staff coordination, documentation, vendor management, and office operations.
The Admin Manager will play a key role in ensuring efficient coordination between management, care teams, HR, finance, vendors, and other departments.
Key Responsibilities
- Manage and supervise all day-to-day administrative operations.
- Lead and coordinate administrative staff and support teams.
- Maintain accurate client, employee, vendor, and operational records.
- Coordinate with nursing, caregiving, housekeeping, and other operational teams.
- Monitor staff attendance, shift schedules, leave records, and administrative requirements.
- Handle vendor management, procurement, office supplies, and facility-related requirements.
- Coordinate purchasing of stationery, medical supplies, housekeeping materials, and other essentials.
- Oversee billing, invoices, payment documentation,
and basic administrative finance activities.
- Prepare daily, weekly, and monthly administrative reports for management.
- Maintain statutory registers, licenses, agreements, and compliance-related documents.
- Coordinate with HR and finance teams for employee documentation and administrative processes.
- Handle client and family-related administrative communication professionally.
- Ensure proper maintenance of front office, office facilities, and workplace standards.
- Identify operational issues and take timely corrective action.
- Develop and implement effective administrative procedures and systems.
- Ensure confidentiality and proper handling of company, employee, and client information.
- Support management in special projects and other operational requirements.
Requirements
- Bachelor's degree in any discipline; MBA/PGDM in HR or Administration is an added advantage.
- Minimum 3–5 years of relevant experience in administration or office management.
- Only experienced candidates will be considered.
- Previous experience in healthcare, elder care, hospital, nursing, or service-oriented organizations is preferred.
- Strong knowledge of MS Office, Excel, email, documentation, and administrative software.
- Excellent Tamil and English communication skills.
- Strong leadership and team management abilities.
- Excellent organizational and multitasking skills.
- Strong problem-solving and decision-making skills.
- Good knowledge of documentation, vendor coordination, and office operations.
- Ability to work independently and manage multiple responsibilities.
- Professional, responsible, and disciplined approach to work.
Preferred Skills
- Experience managing administrative teams.
- Experience in healthcare or elder care administration.
- Knowledge of billing and invoicing processes.
- Familiarity with HR and attendance management systems.
- Basic understanding of statutory documentation and compliance.
- Strong reporting and Excel skills.
- Ability to coordinate with multiple departments effectively.
