Key Responsibilities:
- Front Desk Management:
- Greet visitors, clients, and employees as they arrive.
- Answer phone calls, direct them to the appropriate departments, or take messages.
- Manage meeting room bookings and coordinate schedules.
- Administrative Support:
- Assist with general office tasks such as filing, data entry, and documentation.
- Prepare and distribute communications like emails and memos.
- Organize office supplies and equipment, ensuring everything is operational.
- IT-Specific Support:
- Provide basic IT support for employees (e.g., helping with setting up computers, troubleshooting minor tech issues).
- Assist with coordinating IT hardware requests (laptops, monitors, phones) and ensure proper setup.
- Handle and track IT asset management, ensuring equipment is checked in and out.
- Provide support for video conferencing or meetings (setting up systems, managing virtual meeting links).
- Scheduling and Coordination:
- Coordinate IT-related meetings, conferences, or training sessions for staff.
- Schedule IT technicians or support staff for internal support tasks or system maintenance.
- Manage the calendar for system downtime, updates, and other IT-related activities that could impact staff.
- Customer Service:
- Serve as the first point of contact for clients, vendors, or customers needing IT assistance.
- Address basic client IT-related inquiries or direct them to appropriate tech support teams.
- Data Management and Reporting:
- Maintain records related to IT support tickets, hardware requests, and software installations.
- Help in generating reports on equipment usage or IT service performance.
- Security and Compliance:
- Ensure security protocols are followed, such as verifying visitor identification and signing visitors in and out of the building.
- Ensure that sensitive information related to IT systems or clients is handled according to company policies.
Skills and Qualifications:
- Technical Skills:
- Basic understanding of IT systems, hardware, and software.
- Familiarity with office management software (e.g., Microsoft Office, Google Suite) and any company-specific software for scheduling or communication.
- Comfort with troubleshooting basic tech issues (e.g., printers, connectivity).
- Soft Skills:
- Excellent communication and interpersonal skills.
- Strong organizational abilities and attention to detail.
- Multitasking capability, managing phone calls, visitors, and administrative duties simultaneously.
- Customer-service oriented, with the ability to handle client inquiries in a skilled manner.
- Experience:
- Previous experience in a reception or administrative role, especially within an IT-focused company.
- Experience with handling basic IT hardware and software tasks can be advantageous.
Education:
- Typically, a high school diploma or equivalent is required.
- Some employers may prefer candidates with a background or certification in IT, office administration, or customer service.
