Planning Executive — Roles & Responsibilities
A Planning Executive supports the Planning Manager in day-to-day planning, scheduling, coordination, tracking, and reporting to ensure modular furniture orders move smoothly from design approval to production, dispatch, and installation.
1. Daily Planning & Scheduling
- Prepare daily and weekly production plans as directed by the Planning Manager.
- Schedule jobs based on project priority, delivery date, material availability, and production capacity.
- Prepare work schedules for cutting, CNC, edge-banding, drilling, assembly, finishing, and packing.
- Update schedules based on actual production progress.
- Highlight delays and bottlenecks immediately.
2. Order & Project Tracking
- Maintain a project/order-wise planning tracker.
- Track the status of:
- Site measurement
- Design/drawing
- Client approval
- Material availability
- Production
- Quality inspection
- Packing
- Dispatch
- Installation
- Follow up with respective departments for pending activities.
- Ensure critical activities are completed as per schedule.
3. Design & Drawing Coordination
- Coordinate with the Design/Drafting team for drawing release.
- Track approved drawings and production drawings.
- Maintain a record of pending design approvals and revisions.
- Inform the Planning Manager about drawing delays affecting production.
- Ensure production planning is based on the latest approved information.
4. Material Planning & Follow-up
- Check material availability against upcoming production requirements.
- Coordinate with Stores and Procurement regarding shortages.
- Prepare material requirement information based on the production plan.
- Track pending purchase orders and expected material delivery dates.
- Highlight critical or long-lead materials.
5. Production Coordination
- Issue or communicate production schedules to relevant departments.
- Follow up with production supervisors on planned quantities and completion dates.
- Track actual production against planned quantities.
- Record reasons for production delays.
- Coordinate priorities when multiple projects are running simultaneously.
6. WIP Monitoring
Track work-in-progress at each stage:
Cutting → CNC → Edge Banding → Drilling → Assembly → Finishing → QC → Packing
- Monitor movement of jobs between departments.
- Identify jobs stuck at any production stage.
- Escalate bottlenecks to the Planning Manager.
- Maintain accurate WIP status.
7. Dispatch Planning
- Coordinate with production and stores to confirm finished-goods readiness.
- Prepare dispatch priorities according to site requirements.
- Coordinate with logistics/dispatch teams.
- Track dispatched and pending items.
- Ensure project-wise materials are properly identified before dispatch.
8. Installation Coordination
- Coordinate with project/site teams regarding installation requirements.
- Track site readiness and installation schedules.
- Ensure required furniture is produced and dispatched before installation dates.
- Monitor pending installation items.
- Communicate site-related delays to the Planning Manager.
9. MIS & Reporting
Prepare and maintain:
- Daily production reports
- Project status reports
- Production plan vs. actual reports
- Material shortage reports
- WIP reports
- Dispatch reports
- Installation status reports
- Delay/recovery reports
10. ERP / Planning System
- Update order and production status in ERP/MRP or planning software.
- Maintain accurate planning data.
- Enter production quantities and completion status.
- Generate reports as required.
- Ensure system information matches actual shop-floor status.
11. Coordination & Follow-up
The Planning Executive should continuously coordinate with:
Sales/Projects ↔ Design ↔ Procurement ↔ Stores ↔ Production ↔ Quality ↔ Dispatch ↔ Installation
The role is heavily focused on follow-up, status tracking, and timely communication.
12. Documentation & Records
- Maintain planning files and trackers.
- Maintain production schedules and revisions.
- Maintain records of pending activities and commitments.
- Document reasons for delays and corrective actions.
- Keep all planning information updated and accessible.
Key KPIs
A Planning Executive can be evaluated on:
- Production plan adherence
- Accuracy of daily/weekly status reports
- Timely follow-up of pending activities
- Material shortage identification
- On-time drawing/approval tracking
- WIP tracking accuracy
- Dispatch schedule adherence
- Installation schedule coordination
- Response time for planning issues
- Accuracy of ERP/MIS data
Pay: ₹10,370.28 - ₹61,047.43 per month
