Role: Fabric Purchase Assistant

Job Summary

The Fabric Purchase Assistant supports the purchase team in sourcing, purchasing, and coordinating the supply of fabrics and textile materials. The role involves supplier coordination, quotation comparison, purchase documentation, order follow-up, quality and quantity coordination, and ensuring materials are received on time according to required specifications.

Key Responsibilities

· Assist in sourcing and purchasing fabrics, textiles, lining materials, and other related materials.

· Coordinate with fabric suppliers, mills, manufacturers, and wholesalers for availability and pricing.

· Obtain and compare quotations, rates, payment terms, delivery schedules, and quality specifications.

· Prepare and process Purchase Orders (POs) based on approved requirements.

· Follow up with suppliers regarding order confirmation, production status, dispatch, and delivery.

· Maintain records of supplier quotations, purchase orders, invoices, delivery documents, and samples.





· Coordinate with the Warehouse/Stores and Quality Team during material receipt and inspection.

· Verify received fabric against PO specifications, including fabric type, color, shade, design, width, GSM, quantity, and lot/batch details, where applicable.

· Coordinate with the Quality Team regarding defective, damaged, short, or non-conforming materials.

· Follow up with suppliers for replacement, shortage, quality claims, and rejected materials.

· Maintain supplier and fabric databases, including pricing and previous purchase information.

· Monitor market prices and assist in identifying competitive suppliers and alternative sourcing options.

· Assist in negotiating prices and commercial terms under the guidance of the Purchase Manager.

· Track pending purchase orders and ensure timely delivery to meet production or showroom requirements.

· Coordinate with Production, PPC, Design, Merchandising, Warehouse, Accounts, and Sales teams regarding fabric
