Job Description – Jr. Sales Back Office Executive Position

Designation: Jr. Sales Back Office Executive
Department: Sales / Commercial
Reporting To: Sales Manager / Commercial Manager
Location: Jamnagar, Gujarat
Experience: 0–2 years

Job Purpose

To provide day-to-day back-office and commercial support to the Sales Department by maintaining sales records, coordinating order and dispatch documentation, updating ERP and MIS records, supporting invoicing and GRN processes, and ensuring timely and accurate documentation of customer transactions.

Key Responsibilities
- Maintain and regularly update the Order Acceptance Register.
- Update the Order Book with recent orders, amendments and pending orders.
- Perform sales order entries in the ERP system accurately and on time.
- Prepare and maintain daily GRN reports.
- Coordinate with the Purchase Department regarding GRNs and pending entries.
- Prepare GRNs against relevant invoices wherever required.
- Assist in domestic invoicing and ensure invoices are prepared accurately.
- Prepare scrap invoices as required.




- Maintain proper filing of invoices and purchase orders.
- Generate and maintain dispatch PDFs and dispatch-related documents
- Maintain and regularly update the Dispatch Sheet.
- Coordinate with the Dispatch/Logistics team for required documents.
- Assist with E-Way Bill filing.
- Maintain records of pending shipping bills and follow up for closure.
- Ensure dispatch documentation is available and updated on time.
- Follow up internally for customer payment status and update records.
- Maintain the Export Payment Sheet.
- Assist in maintaining export-related commercial documentation.
- Maintain bill/part traceability records as required.
- Ensure proper documentation and filing of sales, purchase, invoice and dispatch records.
- Regularly reconcile physical/document records with ERP entries.
- Check ERP records for missing or incorrect entries and coordinate for correction.
