About the Role

Vacayom Facility Management is a premier vacation rental and estate management company managing luxury villas and holiday homes in Goa. We are looking for a detail-oriented Accounts & Operations Admin Executive to oversee day-to-day financial bookkeeping, billing, OTA booking reconciliations, owner payout calculations, and general office administration.

Key Responsibilities1. Invoicing, Billing & OTA Reconciliation
Reconcile booking payouts, commissions, and taxes from Online Travel Agencies (Airbnb, MakeMyTrip, Agoda, Booking.com, VRBO, and direct reservations).
Generate and issue tax invoices/bills for management fees, guest stays, add-on services, and turnover fees.




Prepare accurate Monthly Owner Statements & Payout Ledgers (calculating gross revenue, OTA deductions, management revenue share, and itemized operational expenses).
Manage billing and recovery of Society CAM (Common Area Maintenance) dues, utility bills, and holding retainers.
Day-to-Day Accounting & Bookkeeping
Record all daily business expenses, vendor bills, utility payments, and petty cash transactions into accounting software (Tally / Zoho Books / QuickBooks / Excel).
Track and manage payments to local contractors, pool maintenance vendors, laundry suppliers, and pest control teams.
Process monthly payroll for in office staff (supervisors, security guards, housekeepers).
Maintain banking records, process NEFT/RTGS payments, and perform regular bank reconciliations.
Statutory Compliance Support
Coordinate with the company’s Chartered Accountant (CA) for monthly GST calculations and input tax credit (ITC) reconciliations.
