Dispatch & Logistics Supervisor — Roles & Responsibilities

A Dispatch & Logistics Supervisor is responsible for managing the safe, accurate, timely, and cost-effective movement of modular furniture from the factory to the project/site, ensuring that the correct materials reach the correct location in the required sequence and condition.

1. Dispatch Planning & Execution

- Prepare daily dispatch plans based on project priorities and site requirements.
- Coordinate with Planning, Production, Assembly & Packing, Stores, and Project teams.
- Ensure only approved and completed furniture is dispatched.
- Plan dispatch according to installation sequence and site readiness.
- Ensure vehicles are arranged as per volume, weight, and delivery requirements.

2. Project-Wise Material Coordination

- Verify furniture and components against project requirements.
- Ensure materials are segregated project-wise and location-wise.
- Check module numbers, room numbers, package numbers, and installation sequence.
- Prevent mixing of materials between projects.
- Coordinate missing or pending components before dispatch.

3. Packing & Dispatch Verification

Before loading, verify:

- Furniture quantity
- Module/component identification
- Packing condition
- Hardware/accessories
- Labels and package numbers
- Dispatch documents
- Delivery destination
- Ensure damaged or incomplete packages are not dispatched without approval.

4. Loading Management

- Supervise safe loading of furniture into vehicles.
- Ensure proper loading sequence.
- Protect furniture against scratches, dents, moisture, and movement during transportation.
- Ensure proper use of straps, separators, padding, corner protection, and other protective materials.
- Optimize vehicle space without compromising product safety.

5. Transportation & Logistics Coordination

- Coordinate with transporters and drivers.




- Plan vehicle availability according to dispatch schedules.
- Provide correct delivery addresses and contact details to transport teams.
- Monitor vehicle movement and delivery status.
- Coordinate with site teams regarding expected arrival.
- Handle transportation delays and route-related issues.

6. Delivery Coordination

- Confirm site readiness before dispatch where applicable.
- Coordinate delivery timing with Project/Site teams.
- Ensure unloading arrangements are available at site.
- Obtain delivery acknowledgement/POD after delivery.
- Report shortages, damages, or delivery discrepancies immediately.

7. Documentation

Maintain accurate records of:

- Dispatch challans
- Packing lists
- Delivery notes
- Vehicle details
- Transporter details
- Loading records
- Gate passes
- Proof of Delivery (POD)
- Damage/shortage reports
- Returnable/non-returnable material records

8. Inventory & Material Tracking

- Maintain records of dispatched, pending, returned, and delivered materials.
- Reconcile factory dispatch quantities with site receipts.
- Track materials in transit.
- Coordinate with Stores for stock reconciliation.
- Ensure no material leaves the factory without proper documentation and authorization.

9. Return & Reverse Logistics

- Coordinate return of damaged, excess, or incorrect materials from site.
- Verify returned quantities and condition.
- Coordinate replacement of damaged/missing components.
- Maintain return records.




- Ensure returned items are properly segregated and processed.

10. Cost & Vehicle Utilization

- Optimize vehicle selection and loading capacity.
- Minimize partial loads and unnecessary trips.
- Monitor transportation costs.
- Coordinate multiple deliveries where practical.
- Evaluate transporter performance and delivery efficiency.

11. Safety & Compliance

- Ensure secure loading and unloading practices.
- Ensure workers use appropriate PPE.
- Follow vehicle loading limits and safety requirements.
- Ensure proper securing of furniture during transportation.
- Maintain safe loading/unloading areas.
- Ensure logistics activities comply with company procedures and applicable regulations.

12. Team Management

- Supervise loaders, dispatch staff, warehouse personnel, and logistics helpers.
- Allocate manpower according to daily dispatch requirements.
- Train staff in material handling and packing protection.
- Monitor productivity and discipline.
- Ensure proper housekeeping in dispatch and loading areas.

13. Problem Solving & Escalation

Immediately identify and escalate:

- Missing components
- Wrong items
- Damaged furniture
- Incomplete packing
- Vehicle delays
- Site delivery issues
- Wrong delivery locations
- Quantity discrepancies
- Transportation damage

Coordinate corrective action with the responsible department.

A Dispatch & Logistics Supervisor can be evaluated on:

Pay: ₹10,463.55 - ₹30,084.60 per month
