We are looking for an experienced and result-oriented Regional Manager – Ocean Export Customer Service & Documentation to lead and oversee Ocean Export CS & Documentation operations across key Indian gateway ports, including Mundra, Hazira and Nhava Sheva.

The role will be responsible for managing regional customer service and documentation activities, ensuring smooth export shipments, timely documentation, operational excellence, customer satisfaction and effective coordination with internal teams, shipping lines, carriers, CHA/customs teams and overseas agents.

Key Responsibilities

- Lead and manage Ocean Export Customer Service & Documentation operations across the assigned region.
- Oversee end-to-end export shipment coordination from booking to documentation, shipment execution and final closure.
- Manage HBL/MBL preparation, Shipping Instructions (SI), VGM, BL amendments, draft approvals and documentation timelines.
- Ensure timely and accurate submission of shipping instructions and other export documentation to shipping lines/carriers.
- Coordinate with shipping lines, carriers, CHA, customs, transporters, overseas agents and internal operations teams.
- Monitor vessel schedules, cut-offs, SI cut-offs, documentation deadlines and shipment milestones.
- Ensure compliance with shipping line, port, customs and company documentation procedures.
- Handle customer escalations and ensure timely resolution of operational and documentation-related issues.
- Establish and monitor SOPs, SLAs, KPIs and quality standards for Ocean Export CS & Documentation.
- Identify process gaps and implement improvements to enhance operational efficiency and customer experience.
- Monitor team performance, productivity,



workload distribution and service levels across locations.
- Provide leadership, coaching and guidance to CS & Documentation teams.
- Conduct regular performance reviews and ensure achievement of departmental KPIs.
- Coordinate with Sales and Business Development teams to ensure smooth customer onboarding and service delivery.
- Maintain strong relationships with key customers and support retention through consistent service quality.
- Prepare and review operational reports, MIS, performance dashboards and management updates.
- Ensure proper escalation and resolution of critical shipment, documentation and customer issues.
- Drive standardisation of processes across Mundra, Hazira and Nhava Sheva.
- Ensure adherence to company policies, regulatory requirements and industry best practices.

Candidate Profile
- 10+ years of relevant experience in Ocean Export Customer Service / Documentation within the Freight Forwarding / Logistics industry.
- Proven experience in managing Ocean Export CS and Documentation teams.
- Strong knowledge of export documentation, shipping line processes and international freight forwarding operations.
- Hands-on knowledge of HBL, MBL, SI, VGM, BL drafts, amendments, vessel schedules and cut-off management.
- Experience handling operations through major Indian ports such as Mundra, Hazira and Nhava Sheva will be highly preferred.
- Strong leadership and team-management capabilities.
- Excellent customer handling and escalation-management skills.
- Solid communication, coordination and negotiation abilities.

Pay: Up to ₹1,500,000.00 per year
