Roles & Responsibilities Document Control & Management

Establish, implement, and maintain document control systems and procedures in line with project and

organisational requirements.

/n

/n
Receive, register, classify, number, and distribute documents including drawings, reports, correspondence, and
/n

/n

technical records.

/n

/n
Maintain document registers, metadata, revision history, and status tracking to ensure document integrity and
/n

/n

traceability.

/n

Version Control & Compliance

/n

/n
Control document revisions, superseded documents, and approval workflows to ensure only the latest approved
/n

/n

versions are in circulation.

/n

/n
Ensure compliance with internal standards, client requirements, project procedures, and quality management
/n

/n

systems (e.g., ISO-aligned processes).

/n

/n
Support audits by ensuring records are complete, accurate, and retrievable.
/n

/n

Systems & Tools

/n

/n




Manage documents using Electronic Document Management Systems (EDMS/DMS) such as Navex, Unanet
/n
Business Collaborator, SharePoint, Aconex, ProjectWise, or similar platforms will be added advantage.
/n
Upload, download, and configure document permissions, workflows, and access controls as per project rules.
/n
Coordinate document transmittals to internal and external stakeholders. Stakeholder & Project Support
/n
Interface with engineers, designers, project managers, and external parties to ensure timely document submissions
/n

/n

and approvals.

/n

/n
Monitor document turnaround times and follow up on overdue reviews or approvals.
/n
Provide guidance and support to project teams on document control procedures and best practices. Records & Archiving
/n
Maintain structured filing systems for both active and archived documents.
/n
Ensure proper handover of documents at project close-out, including as-built and final documentation sets.
