HR Manager – Detailed Job ProfileAn HR Manager is responsible for managing the complete employee lifecycle of an organization, from recruitment and joining to performance management, development, and exit. The HR Manager acts as a bridge between management and employees and ensures that the organization has the right people, policies, systems, and work setting to achieve its business objectives.
1. Recruitment and SelectionThe HR Manager identifies manpower requirements in consultation with department heads and management. Responsibilities include preparing job descriptions, advertising vacancies, sourcing candidates, screening applications, conducting interviews, coordinating technical interviews, negotiating salaries, and completing the selection process. The HR Manager also ensures that new employees receive proper offer and appointment letters.
2. Employee Joining and OnboardingThe HR Manager manages the complete joining process, including document verification, employee registration, induction, introduction to company policies, and allocation of responsibilities. Proper employee files containing identification, educational, experience, bank, and statutory documents must be maintained.
3. Attendance, Leave and PayrollThe HR Manager monitors daily attendance, late coming, absenteeism, overtime, and leave records. Monthly attendance data is coordinated with the accounts/payroll team for accurate salary processing. The HR Manager also assists with salary structures, incentives, deductions, PF, ESI, TDS, and other applicable statutory requirements.
4. Performance ManagementThe HR Manager develops and implements performance appraisal systems based on KPIs and KRAs. Employee performance is reviewed periodically, and recommendations for increments, promotions, training, transfers,
or performance improvement plans are prepared in consultation with management.
5. Employee RelationsMaintaining a positive workplace environment is an important responsibility. The HR Manager handles employee grievances, conflicts, disciplinary matters, communication issues, and workplace concerns fairly and confidentially. The HR Manager should promote teamwork, professionalism, employee engagement, and a healthy work culture.
6. Training and DevelopmentThe HR Manager identifies training requirements and coordinates induction, technical, product, sales, communication, leadership, and soft-skill training programs. Training effectiveness should be monitored and records maintained.
7. HR Policies and ComplianceThe HR Manager prepares and implements HR policies covering attendance, leave, recruitment, travel, conduct, performance, disciplinary procedures, confidentiality, and employee separation. The HR Manager coordinates applicable labour-law and statutory compliance requirements and maintains proper documentation.
8. Employee Exit ManagementThe HR Manager manages resignations, notice periods, exit interviews, clearance procedures, company asset recovery, relieving letters, experience certificates, and full-and-final settlement coordination.
9. HR ReportingRegular reports should be submitted to management covering manpower strength, recruitment, attendance, leave, payroll, resignations, employee performance, training, and employee retention.
Key SkillsThe HR Manager should possess strong communication, leadership, negotiation, recruitment, problem-solving, Excel/HR software, documentation, confidentiality, and employee-management skills.
Reporting: HR Manager reports directly to senior management/Director and coordinates with all departments to ensure efficient manpower management and a productive workplace.
