Job Title: Operations & Inventory Executive

Job Type: Full-time, Work from Office

Working Hours: 10:30 AM to 7:00 PM, including a 40-minute meal break

Working Days: Six days a week with one fixed weekly off

Salary: ₹20,000–₹22,000 per month, depending on skills and experience

About the Role

We are looking for a responsible and organised Operations & Inventory Executive to manage the daily transaction and inventory records of our textile trading business.

This is not only a data-entry position. The employee will be responsible for collecting complete information from office and godown staff, entering it correctly in Google Sheets, preparing challans and ensuring that every movement of goods is properly recorded.

The employee will work from both the office and godown area whenever required. No physical lifting or loading of goods is involved.

Main Responsibilities

1. Record all inward, outward, sale, purchase, return, replacement and stock-transfer transactions in Google Sheets.
2. Prepare delivery challans accurately using the information provided by the management and godown staff.
3. Record the correct bale number, fabric name, colour, number of pieces, metres, GSM and other required details for every movement of goods.
4. Ask the concerned employee for the bale number and other required information whenever goods are issued, transferred, returned or given to a customer.
5. Ensure that no transaction is treated as complete until all the required details have been received and recorded.
6. Immediately inform management if goods are being moved without a bale number, challan or proper entry.
7. Update all records on the same working day. Entries should not be unnecessarily carried forward to the next day.
8. Cross-check challans,



transaction records and inventory sheets to identify missing or incorrect entries.
9. Assist with regular physical stock verification and compare physical stock with Google Sheet records.
10. Maintain separate and accurate records wherever inventory is tracked in bales, pieces, metres, colours, qualities or GSM.
11. Follow up with employees regarding incomplete information and report repeated non-compliance to management.
12. Prepare daily or weekly summaries of transactions, pending entries and inventory differences whenever required.
13. Keep company records, customer information, purchase rates, selling rates and inventory data confidential.
14. Report mistakes immediately. Entries must not be hidden, deleted or changed without maintaining a proper correction record or informing management.

Authority and Limitations

The employee is authorised to ask office and godown staff for all information required to record a transaction, including bale numbers, quantities, colours and item details.

If complete information is unavailable, the employee must keep the transaction marked as pending and immediately inform management.

The employee will monitor whether the inventory-recording process is being followed. Any disciplinary action against another employee will be decided only by management.

The employee is not authorised to independently decide selling prices, discounts, credit terms, purchases, payments or customer commitments unless specifically instructed by management.





Required Skills

- Good working knowledge of Microsoft Excel and Google Sheets
- Comfortable using formulas, filters, sorting and basic lookup functions
- Good numerical accuracy and attention to detail
- Ability to prepare and maintain challans and stock records
- Ability to communicate firmly and politely with office and godown employees
- Willingness to learn textile qualities, colours, bale numbers, pieces, metres and GSM
- Ability to identify and report missing or inconsistent information
- Responsible, punctual and comfortable taking ownership of daily work

Eligibility

- Graduate preferred
- A capable 12th-pass candidate with relevant experience may also apply
- One to three years of experience in inventory, billing, dispatch, back-office operations, textile trading or warehouse records is preferred
- Freshers may be considered only if they demonstrate solid Excel skills, accuracy and willingness to learn
- Candidates should be able to communicate in Hindi and read or write basic English
- Candidates living within a reasonable travelling distance of Gandhi Nagar, Delhi, will be preferred

Employment Terms

The initial probation period will be three months. The agreed salary will remain unchanged merely because the probation period has been completed.

Salary will normally be reviewed after completing one year. A salary review will be based on performance and does not automatically guarantee an increment.

Planned leave should be requested in advance. In an emergency, the employee must inform management as early as reasonably possible before the start of the shift.

The employee will receive one fixed weekly off. Other leave, festival holidays, bonuses and benefits will be governed by company policy and the terms stated in the appointment letter.
