Job Description Position Summary n The Director – Central Events Management Division (CEMD) shall provide strategic leadership for planning, coordinating and executing all University events. The incumbent will be responsible for delivering world-class events through meticulous planning, operational excellence, stakeholder collaboration, financial prudence, risk management and continuous innovation. The role demands the ability to lead multiple high-impact events simultaneously while ensuring quality, safety, branding and exceptional participant experience. n Key Responsibilities n 1. Strategic Leadership n n Develop and implement the University's annual event strategy and master event calendar. n Establish SOPs, quality standards and best practices for event management. n Drive innovation and continuous improvement across all event operations. n n 2. Event Planning & Execution n Lead end-to-end planning and execution of all institutional events including Orientation Programme Convocations, Conferences, Government & VIP Visits, Alumni Meets, Corporate Events, Academic Functions and other University events. Ensure seamless execution of: n n Event planning and scheduling n Venue and stage management n Technical production n Rehearsals n Protocol and hospitality n Registration and audience management n Event documentation and post-event review n n 3. Project & Operations Management n n Develop detailed execution plans, timelines and responsibility matrices. n Monitor project milestones and operational readiness. n Ensure timely availability of resources, infrastructure and logistics.
n Lead event control room operations and contingency planning. n n 4. Stakeholder & Team Leadership n n Coordinate with University leadership, academic departments, administration and external agencies. n Lead and mentor the CEMD team, production crew, anchors, coordinators, volunteers and vendors. n Foster a culture of accountability, collaboration and operational excellence. n n 5. Budget & Vendor Management n n Prepare and monitor event budgets. n Optimize resource utilization and control costs. n Lead vendor selection, negotiations, contract management and performance evaluation. n 6. Branding, Safety & Compliance n Ensure consistency in university branding and participant experience. n Maintain compliance with safety protocols, statutory requirements and institutional policies. n Oversee crowd management, emergency preparedness and risk mitigation. n n 7. Reporting & Continuous Improvement n n Prepare event calendars, readiness reports, budgets and post-event analysis. n Conduct event audits and implement corrective actions. n Benchmark national and international best practices to enhance University events. n n Key Performance Indicators (KPIs) n n Timely execution of the approved event calendar. n Zero major operational failures during events.
n Budget adherence and optimal resource utilization. n High stakeholder and participant satisfaction. n Compliance with quality, safety and governance standards. n Effective management of multiple concurrent events. n Continuous process improvement and innovation. n n Educational Qualification n n Master's Degree in Event Management, Hospitality Management, Business Administration, Mass Communication, Public Relations, Operations Management or a related discipline from a recognized institution. n Certification in Project Management (PMP/PRINCE2) or Qualified Event Management. n n Experience n n 12–15 years of experience in large-scale event management. n Minimum 5 years in a leadership role managing institutional, corporate or government events. n Proven experience in planning and executing large, high-profile events involving multiple stakeholders and complex logistics. n Experience in higher education institutions will be preferred. n Strategic Planning & Execution n Leadership & Team Management n Project & Operations Management n Stakeholder & Vendor Management n Budget & Resource Management n Crisis & Risk Management n Communication & Negotiation Skills n Decision Making & Problem Solving n Innovation & Continuous Improvement n High Integrity, Professionalism and Ownership n Working Conditions n Willingness to work beyond regular office hours, weekends and holidays based on event schedules. n Ability to perform under pressure and manage multiple priorities. n Travel as required for official assignments. n n n Call at (phone hidden)
