Immigration Case ManagerJob Overview
We are seeking an experienced Immigration Case Manager to join our team. The ideal candidate must have prior experience working in Canadian immigration case management and be comfortable managing client files, preparing immigration applications, communicating with clients, and ensuring applications are completed accurately and submitted within required timelines.
The successful candidate will be highly organized, detail-oriented, professional, and able to manage multiple immigration files simultaneously while maintaining strict confidentiality.
Key Responsibilities
- Manage immigration files: Handle and monitor client files from initial consultation through application submission and follow-up.
- Prepare applications: Prepare, review, and organize immigration applications, forms, supporting documents, letters, and submissions.
- Review documents: Identify missing, inconsistent, or incomplete information and coordinate with clients to obtain required documentation.
- Conduct client interviews: Gather relevant information from clients and ensure their personal and immigration history is accurately documented.
- Communicate with clients: Respond to client inquiries, provide application updates, explain document requirements, and maintain professional communication.
- Track deadlines: Monitor application deadlines, document expiry dates, submission timelines, and other important milestones.
- Research immigration programs: Conduct research on Canadian immigration programs, policies, procedures, and applicable requirements to support case preparation.
- Application follow-up: Monitor applications after submission and assist with requests for additional documents or information.
- Maintain case records: Keep accurate,
organized, and up-to-date electronic and physical client files, including case notes and correspondence.
- Prepare correspondence: Draft professional letters, explanations, document requests, and other case-related correspondence.
- Quality control: Review applications and supporting documents for accuracy, completeness, consistency, and compliance before submission.
- Client service: Build professional relationships with clients and provide timely, respectful, and accurate assistance throughout the immigration process.
- Manage multiple files: Prioritize workload effectively while handling multiple client matters and deadlines simultaneously.
- Maintain confidentiality: Safeguard sensitive client information and follow company privacy and confidentiality procedures.
- Team collaboration: Work closely with consultants, management, and other team members to ensure cases are handled efficiently.
- Office administration: Maintain case management systems, organize documents, update records, and complete administrative tasks related to immigration files.
Qualifications & Requirements
- Prior experience as an Immigration Case Manager is required.
- Previous experience handling Canadian immigration applications and client files.
- Solid knowledge of Canadian immigration processes and documentation requirements.
- Experience preparing and reviewing immigration forms and supporting documents.
- Excellent written and verbal communication skills.
- Strong attention to detail and accuracy.
- Excellent organizational and time-management skills.
- Ability to manage multiple files and meet strict deadlines.
- Strong research and problem-solving skills.
- Proficiency with Microsoft Office and document management systems.
- Ability to work independently and as part of a team.
- Professional and client-focused approach.
- Ability to maintain confidentiality and handle sensitive client information.

Employment Requirements
Experience: Prior Canadian immigration case management experience is required.
