Key Responsibilities
1. Recruitment & Talent Acquisition
- Handle the complete recruitment cycle from manpower requirement to joining.
- Prepare and post job descriptions on Naukri, Indeed, WorkIndia, JobHai and other recruitment platforms.
- Source, screen, and shortlist suitable candidates.
- Conduct initial HR interviews and coordinate technical/management interviews.
- Coordinate interview schedules with candidates and department heads.
- Manage offer letters, appointment letters, joining documentation, and onboarding.
- Maintain recruitment trackers and candidate databases.
- Coordinate reference/background verification wherever required.
- Build a talent pipeline for current and future requirements.
- Coordinate with colleges, consultants, and other recruitment sources for hiring.
2. Attendance & Leave Management
- Monitor daily attendance through biometric systems, People/HR software, and manual records.
- Track IN/OUT punches, late coming, early leaving, absenteeism, overtime, weekly offs, and holidays.
- Maintain monthly attendance records for all employees and sites.
- Verify attendance with site supervisors and department heads.
- Maintain leave records and leave balances.
- Track unauthorized absence and prepare necessary reports/actions.
- Coordinate with employees and supervisors for attendance discrepancies.
- Prepare monthly attendance data for payroll processing.
3. Payroll Coordination
- Prepare and verify monthly salary inputs based on attendance.
- Coordinate with the Accounts Department for salary processing and salary release.
- Verify basic salary, allowances, deductions, overtime, incentives, advances, loans, leave deductions, and other salary adjustments.
- Prepare salary bulk sheets and bank transfer sheets.
- Coordinate for salary slips and ensure timely distribution.
- Maintain records of salary advances and recoveries.
- Support Full & Final Settlement (F&F;) calculations.
- Verify payroll data before final salary processing.
- Maintain confidentiality of employee salary and payroll information.
4. Statutory Compliance
- Manage and coordinate statutory HR compliance related to:
- Provident Fund (PF)
- ESIC
- Professional Tax (PT)
- TDS coordination, wherever applicable
- Labour law and employment-related compliances
- Prepare and verify monthly PF, ESIC, and PT working.
- Coordinate with Accounts/consultants for timely payment and filing of statutory dues.
- Maintain statutory records, challans, returns, and supporting documents.
- Ensure employee records are updated on relevant government portals.
- Monitor changes in applicable labour laws and communicate important requirements to management.
- Maintain compliance documentation for company and client/site requirements.
- Support internal and external audits and statutory inspections.
5. Employee Lifecycle Management
- Manage employee onboarding and joining formalities.
- Maintain employee master data and personal/KYC records.
- Prepare and maintain:
- Offer Letters
- Appointment Letters
- Confirmation Letters
- Increment/Promotion Letters
- Transfer Letters
- Warning/Show-Cause Letters
- Termination Letters
- Experience/Service Letters
- Relieving Letters
- Conduct exit formalities and maintain resignation records.
- Coordinate clearance and Full & Final Settlement.
- Maintain employee personnel files and documentation.
6. HR Policies & Performance Management
- Implement and monitor company HR policies and procedures.
- Communicate company rules, attendance policies, leave policies, and disciplinary procedures to employees.
- Support performance appraisal and increment processes.
- Maintain employee performance records.
- Coordinate probation reviews and confirmation processes.
- Handle employee grievances and coordinate with management for resolution.
- Support disciplinary actions in accordance with company policies.
7. Administration
- Manage day-to-day HR and office administration activities.
- Maintain employee ID cards, documents, files, and records.
- Coordinate office stationery and HR-related requirements.
- Maintain records of company assets issued to employees,
such as laptops, mobile phones, ID cards, etc.
- Coordinate employee accommodation, travel, and other administrative requirements where applicable.
- Support site administration and employee deployment.
- Coordinate with vendors, consultants, banks, and government offices when required.
- Maintain proper documentation and filing systems.
8. Employee & Site Coordination
- Coordinate with employees, supervisors, site managers, project managers, and HODs regarding HR matters.
- Monitor manpower requirements at different sites/projects.
- Coordinate employee transfers, deployments, and joining at various locations.
- Address employee queries related to salary, attendance, leave, PF, ESIC, documents, and company policies.
- Ensure HR communication reaches employees clearly and on time.
9. HR MIS & Reporting
- Prepare regular HR reports and MIS, including:
- Employee Master
- Attendance Report
- Leave Report
- Recruitment Tracker
- Joining & Exit Report
- Payroll Inputs
- Salary Reports
- PF/ESIC/PT Reports
- Overtime Report
- Manpower Report
- Employee Documentation Status
- Maintain accurate HR data in Excel/Google Sheets/HRMS.
- Prepare management reports and provide HR-related data whenever required.
- Ensure HR records are accurate, updated, and confidential.
10. Employee Engagement & Workplace Culture
- Support employee engagement activities and company events.
- Assist in organizing meetings, celebrations, training programs, and employee activities.
- Promote professional workplace conduct and discipline.
- Support management initiatives related to employee welfare and retention.
11. Additional Responsibilities
- Maintain confidentiality of employee and company information.
- Ensure HR processes are completed within defined timelines.
- Identify opportunities to improve HR processes and reduce manual work.
- Introduce and improve HR systems, trackers, forms, and documentation.
- Support management in implementing recent HR initiatives.
Perform any other HR or administrative responsibilities assigned by management
Pay: ₹20,000.00 - ₹30,000.00 per month
