Job DescriptionRole Overview
nWe are looking for a dynamic and detail-oriented Event Production & Operations Executive with 1–2 years of experience in an event agency, with hands-on exposure to managing large-scale events with a footfall of around 500 attendees.
nKey Responsibilities
n1. End-to-End Event Production

- Plan, coordinate, and execute events from pre-event planning through post-event closure.n
- Prepare event execution plans, production schedules, checklists, timelines, and run-of-show documents.n
- Coordinate event requirements including stage setup, branding, fabrication, décor, AV, lighting, sound, LED screens, furniture, signage, and other production elements.n
- Conduct venue/site visits and ensure readiness before the event.n
- Coordinate setup, rehearsals, technical checks, live execution, and dismantling.n

n2. On-Ground Event Execution

- Take ownership of on-ground event operations and ensure smooth execution.n
- Manage events with a footfall of approximately 500 attendees.n
- Coordinate guest registration, seating, hospitality,



crowd movement, event flow, and other operational requirements.n
- Ensure all event elements are executed as per approved plans, timelines, and quality standards.n
- Handle last-minute challenges and resolve operational issues effectively during events.n

n3. Vendor Coordination & Management

- Coordinate with event agencies, fabricators, decorators, AV vendors, caterers, photographers, security, logistics partners, and other service providers.n
- Obtain quotations and coordinate with vendors for timely delivery of materials and services.n
- Monitor vendor performance, quality, timelines, and adherence to agreed deliverables.n
- Coordinate vendor documentation, work orders, invoices, and payment follow-ups with relevant internal teams.n
- Build and maintain solid relationships with event production vendors.n
