ApplyAZ helps international students access English-taught programs at public universities in Italy and supports eligible students throughout the admission, scholarship, visa, and arrival process. Most of our students apply from India. Our team works across Toronto, Italy, and India.

We are looking for a part-time Operations & Legal Associate to support our day-to-day student operations and to take ownership of our routine legal and compliance work. This role is open to law graduates only. Most of the work is operational. The legal work is real, but it is the smaller part of the role.

What You'll Do — Operations

- Manage student files through the admission, scholarship, visa, and arrival stages.
- Collect, check, and verify student documents against university and consulate requirements.
- Follow up with students on WhatsApp and email until missing documents and information are received.
- Keep our trackers, sheets, and CRM records accurate and up to date every working day.
- Prepare application and visa file checklists and confirm each file is complete before submission.
- Coordinate between the India team, the Italy team, and Toronto, and escalate what needs a decision.
- Maintain and improve our written SOPs so the same process is followed by everyone.
- Flag delays, deadlines, and blocked files early instead of after they become a problem.
- Report on file status and pending items on a regular schedule.

What You'll Do — Legal
- Maintain our Terms and Conditions, order forms, fee schedules, refund terms, and consent forms.
- Maintain our Privacy Policy and our compliance position under India's Digital Personal Data Protection Act, 2023 and GDPR.
- Run our student grievance process end to end: intake, investigation, response, and record-keeping.
- Handle consumer complaints and legal notices at the pre-litigation stage, prepare fact chronologies and evidence bundles, and prepare instructions for our external counsel in India, Canada, and Italy.
- Draft and review contractor agreements, NDAs,



partner-agency agreements, and university MOUs.
- Review how our student-facing teams communicate, build approved message templates, and keep what is said on WhatsApp consistent with what is written in the contract.

Court appearances are handled by external counsel. You brief and manage them.

What We're Looking For

- LL.B from a recognised Indian university. Enrolment with a State Bar Council, or eligibility to enrol, is preferred.
- 0 to 3 years of experience. A law firm, an in-house team, a startup, or a strong internship record all work.
- Willingness to spend most of your time on operational work rather than purely legal work.
- Strong written English. You will write to students, universities, and foreign counsel.
- Working knowledge of Indian contract law, the Consumer Protection Act, 2019, and the DPDP Act, 2023.
- Organised, accurate, and able to hold many open files without losing track of any of them.
- Comfortable with Google Workspace, WhatsApp Business, Notion, and CRM tools.
- Reliable communication and consistent daily delivery in a remote arrangement.
- Experience in education, immigration, or cross-border services is an advantage.
- Any second language is an advantage. Italian is a bonus.

Working Arrangement
- Remote and freelance. This is an independent contractor engagement, not employment.
- 4 hours per working day, Monday to Friday.
- You choose your working window within the day, provided you are reachable for an agreed overlap block and available for scheduled calls.
- Paid per approved hour, invoiced against a weekly timesheet. Hours beyond the daily 4 require written pre-approval.
- You use your own equipment and are responsible for your own taxes. You may take other clients where there is no conflict of interest.
- No employee advantages, PF, gratuity, or notice pay arise from this engagement.
- Initial term of 6 months, reviewed against objectives agreed in writing at the start.
- Potential to move to a full-time engagement after 6 months for the right person. Conversion is not guaranteed in advance.
- To be considered, you must be a law graduate.
