Job Summary
We are looking for an experienced and G Card Holder Customs House Agent (CHA) to manage and coordinate customs clearance activities for Household Goods (HHG), Fine Arts, Personal Effects, and relocation shipments.
The role requires strong practical knowledge of Import & Export Customs procedures, documentation, customs portals, airport/terminal operations, examination, assessment and shipment clearance.
The candidate will be responsible for ensuring that all customs clearance activities are completed accurately, compliantly and within the required timelines, while coordinating effectively with Customs Authorities, airlines, shipping lines, terminals, CFS/ICD, clients, vendors and internal operations teams.
Key Responsibilities
1. Customs Clearance Operations
- Manage end-to-end customs clearance activities for Import and Export shipments.
- Handle customs clearance of Household Goods (HHG), Personal Effects, Fine Arts, Antiques and other relocation-related shipments.
- Coordinate clearance activities at Airports, Seaports, CFS, ICDs and other customs locations.
- Ensure timely processing and release of shipments while maintaining compliance with applicable customs regulations.
- Coordinate with Customs officials and relevant authorities for assessment, examination and clearance of shipments.
- Monitor shipment status from arrival until final customs release.
- Identify and resolve clearance-related issues, documentation gaps and operational delays.
2. Documentation & Customs Procedures
- Prepare, verify and submit customs-related documentation accurately.
- Handle Bill of Entry, Shipping Bills, declarations and other applicable customs documentation. Ensure documents are complete and submitted within prescribed timelines.
- Review shipment documents such as invoices, packing lists, airway bills/bills of lading and other supporting documents.
- Maintain proper records of customs documentation and shipment files.
- Ensure documentation is aligned with the specific requirements of HHG and Fine Arts shipments.
3. G Card & Customs Compliance
- Must possess a valid G Card and be eligible to perform customs clearance activities as per applicable regulations.
- Maintain updated knowledge of applicable Customs Act, regulations, notifications and procedures relevant to the role.
- Ensure that all clearance activities are conducted in compliance with customs requirements.
- Coordinate with the CHA/customs team to ensure proper authorization and documentation for clearance activities.
- Stay updated on changes in customs procedures,
documentation requirements and applicable regulations.
4. Airport / Terminal Coordination
- Coordinate with airport/terminal authorities, airlines, ground-handling agencies, Customs and other stakeholders.
- Arrange and coordinate shipment examination and other customs formalities.
- Follow up for timely assessment, examination and release of shipments.
- Resolve operational issues arising during customs clearance.
- Coordinate movement/release of cleared shipments with the Operations/Move Coordination team.
5. HHG & Relocation Shipments
- Handle customs procedures specifically related to international household goods and personal effects shipments.
- Understand the nature of relocation shipments and their documentation requirements.
- Coordinate with international agents, origin/destination offices and internal relocation teams.
- Ensure smooth customs clearance in line with shipment timelines.
- Assist in resolving queries related to shipment contents, documentation, valuation and customs requirements.
6. Fine Arts & High-Value Shipments
- Handle customs clearance requirements for Fine Arts, antiques, sculptures, collectibles and other high-value/sensitive shipments.
- Ensure careful handling and documentation of valuable artwork during customs procedures.
- Coordinate with Fine Arts Operations, clients, agents and customs authorities for examination and release.
- Ensure that shipment documentation accurately reflects the nature and details of Fine Arts items.
- Maintain a high level of confidentiality, accuracy and attention to detail while handling high-value shipments.
7. Coordination with Internal & External Stakeholders
- Coordinate closely with:
- Operations Team
- Move Coordinators
- Fine Arts Team
- Sales Team
- Finance Team
- International Agents
- Customs Authorities
- Airlines & Shipping Lines
- CFS/ICD/Terminal Authorities
- Transporters and other service providers
- Provide regular updates on customs clearance status.
- Escalate delays, documentation issues or compliance concerns to the reporting manager.
- Maintain professional relationships with external stakeholders and service providers.
8. Shipment Tracking & Reporting
- Maintain real-time updates on customs clearance status.
- Track pending, under-assessment, examination and cleared shipments.
- Prepare daily/weekly/monthly customs clearance reports as required.
- Maintain proper records of shipment documents and clearance activities.
- Ensure timely updating of internal systems/software related to shipment movement and clearance.
9. Problem Solving
- Identify potential customs clearance issues before they impact shipment timelines.
- Resolve documentation discrepancies and customs-related queries.
- Coordinate with relevant stakeholders to minimize delays and additional costs.
- Handle urgent and time-sensitive clearance requirements effectively.
- Demonstrate a proactive approach towards resolving operational challenges.
10. Cost & Time Management
- Ensure customs clearance activities are completed within agreed timelines.
- Coordinate with Finance and Operations teams regarding applicable customs duties, terminal charges, handling charges and other clearance-related costs.
- Help minimize avoidable detention, demurrage, storage and other additional charges.
- Ensure proper documentation and approvals for clearance-related expenses.
Required Skills & Qualifications
- Bachelor’s Degree / Graduate qualification in any relevant discipline.
- Mandatory: Valid G Card Holder.
- 3–7 years of relevant experience in Customs Clearance / CHA operations / Freight Forwarding / International Relocation.
- Strong practical knowledge of Import & Export Customs Clearance.
- Experience in handling HHG, Personal Effects, Fine Arts or relocation shipments will be highly preferred.
- Candidates with experience at Airport/Terminal/CFS/ICD customs operations will be preferred.
- Working knowledge of customs-related online portals and software is essential.
Required Technical & Professional Skills
- Solid knowledge of Import & Export Customs procedures.
- Practical understanding of Bill of Entry and Shipping Bill filing.
- Knowledge of customs documentation and clearance processes.
- Familiarity with customs online systems/portals and relevant software.
- Good understanding of airport/terminal clearance procedures.
- Strong coordination and follow-up skills.
- Good written and verbal communication skills.
- Strong problem-solving and analytical ability.
- Ability to work under pressure and manage time-sensitive shipments.
- High attention to detail and documentation accuracy.
- Good knowledge of MS Office, particularly Excel and Outlook.
