Key Responsibilities Prospect Qualification & Research

Review assigned prospects and determine whether they are genuinely relevant for the podcast.

Research prospects across LinkedIn, company websites, articles, podcasts, conference appearances, skilled communities, interviews and other public sources.

Understand the person's career, expertise, current interests and qualified context.

Identify meaningful connections between the prospect and podcast host.

Rapport & Personalization

Identify authentic conversation bridges such as:

Develop 2–3 possible outreach angles for high-priority prospects.

Select the strongest angle based on why the prospect is likely to engage.

Cold Outreach

Write concise, personalized outreach across email and LinkedIn.

Avoid generic templates and superficial LinkedIn-bio personalization.

Create messages that sound human, relevant and conversational.

Adapt the same research insight appropriately for different channels.

Follow-Ups & Reply Handling

Create context-led follow-ups instead of repetitive “just following up” messages.

Handle:

positive replies;





soft interest;

timing objections;

requests for more information;

skepticism;

executive-assistant coordination;

prospects who initially agree and later stop responding.

Move conversations naturally toward podcast participation.

Podcast Booking & Relationship Management

Introduce the podcast appropriately once rapport/relevance has been established.

Share relevant information, episodes or guest examples when required.

Coordinate booking links, scheduling and time zones.

Ensure invitations are accepted.

Handle rescheduling and at-risk bookings.

Maintain communication until the guest is successfully recorded.

Pipeline Management

Maintain accurate status for every prospect, including:

Qualified Researched Outreach Sent Follow-Up Responded Interested Scheduling Booked Confirmed Recorded / Rescheduled / Future Follow-Up / Declined

The person should always know what action is required next for every active conversation.
