Role & responsibilities
Manage end-to-end order processing from order confirmation to final delivery.
Coordinate with Sales, Operations, Logistics, Finance, Warehouse and Supply Chain teams for timely order execution.
Track order status, loading schedules, vehicle placement, dispatch and delivery timelines.
Coordinate with transporters and logistics partners for vehicle placement and delivery tracking.
Act as the key point of contact for customers after order confirmation, providing timely updates and resolving queries.
Prepare and maintain order-related documents including invoices, delivery challans, dispatch records and delivery confirmations.
Monitor pending orders and proactively follow up to avoid delays in dispatch and delivery.
Identify and escalate delivery issues, discrepancies and coordination bottlenecks for quick resolution.
Maintain accurate order, dispatch and delivery records in ERP/Excel trackers.
Prepare regular reports on pending orders, dispatches, deliveries and operational issues.
Ensure timely communication and coordination across all stakeholders involved in the sales-to-delivery process.
Escalate critical or unresolved matters to the Head of India Operations.





Preferred candidate profile
Bachelor's degree in any discipline; Business, Commerce or Logistics background preferred.
36 years of experience in Sales Coordination, Order Management, Sales Support, Logistics Coordination or similar roles.
Experience in Oil & Gas, Petroleum, Petrochemical, Energy or B2B industrial supply will be preferred.
Robust experience in order processing, dispatch coordination, logistics follow-up and delivery management.
Positive knowledge of MS Excel and ERP/order management systems.
Robust communication, coordination and follow-up skills.
Highly organized with excellent attention to detail and documentation accuracy.
Ability to manage multiple orders, stakeholders and deadlines simultaneously.
Proactive, responsive and capable of working in a fast-paced, time-sensitive environment.
Experience coordinating with transporters, warehouses, depots or logistics partners will be an advantage.
Candidates with exposure to petroleum products, fuels, base oils, lubricants or petrochemical products will be preferred.
