Order Execution & Dispatch Lead Job in Ahmedabad, Gujarat

Responsible for managing the end-to-end order lifecycle, from sales order booking to final dispatch. The role will coordinate with Sales, Commercial, Finance, Warehouse, and Logistics teams to ensure timely and accurate order execution, resolve bottlenecks, and drive a seamless customer experience with a focus on same-day delivery wherever possible.

Key Responsibilities

- End-to-End Order Execution: Own the order execution process from Sales Order creation to final dispatch; monitor stock validation, credit/overdue checks, warehouse processing, invoicing, PGI, and dispatch; minimize delays and resolve pending orders proactively.
- Cross-Functional Coordination: Act as the primary bridge between Sales/Order Booking, Commercial, Finance, Warehouse, and Logistics teams to align on priorities and drive issues to closure.
- Order Validation & Back Order Coordination: Ensure validation of model/SKU, pricing, and available stock; resolve system discrepancies and release ready orders promptly.
- Finance & Credit Clearance: Monitor orders on hold for Finance clearance, coordinate overdue payments and credit limits, and ensure cleared orders advance immediately.
- Warehouse Coordination: Supervise picking, packing,



and outward scanning against approved packing slips to ensure accuracy and minimize processing turnaround time.
- Invoicing & PGI Monitoring: Ensure timely invoicing and Post Goods Issue (PGI) creation, facilitating a seamless transition from scanning to dispatch.
- Logistics & Dispatch Management: Manage multi-mode dispatches (courier, transport, customer pickup), align with customer delivery commitments, and resolve transporter or documentation bottlenecks.

Key Performance Objectives

- Achieve same-day processing and dispatch for eligible orders.
- Minimize Order-to-Dispatch cycle time and order ageing.
- Ensure high order accuracy, proactive order visibility, and rapid exception resolution.
- Eliminate interdepartmental delays and consistently uphold customer commitments.

Exception & Process Management

- Exception Handling: Identify delay causes, assess customer impact, escalate issues, track closures, and initiate preventive actions for recurring bottlenecks.
- Process Improvement: Develop dashboards, trackers, SOPs, and alerts to enhance overall operational speed, accuracy, and customer satisfaction.

Required Skills & Competencies

- Coordination & Execution: Robust cross-functional leadership, stakeholder management, follow-up, and root-cause problem-solving capabilities.
- ERP Proficiency: Hands-on experience with ERP systems such as SAP, Oracle, or Microsoft Dynamics in Order-to-Dispatch/Order-to-Cash flows.
- Mindset & Acumen: Strong sense of ownership (own the order until it reaches the customer), high urgency, customer-first mindset, and analytical/MIS reporting strength.
