Role & responsibilities
Receive attorney approved and signed pleadings and supporting documents for filing
Confirm that the documents appear complete and are ready for submission
Navigate sate, county, and court specific electronic filing portals
Enter case information, party information, filing codes, document descriptions, and other required data accurately
Select the correct court, case, filing type, and submission category
Calculate or confirm basic filing fees when required
Submit filing fees through approved payment methods and document the charge appropriately
Upload pleadings, exhibits, proposed orders, notices, and supporting documents in the required format and sequence
Confirm that filings were successfully transmitted and monitor for acceptance, rejection, or requests for correction
Save filing confirmations, receipts, stamped copies, rejection notices, and other supporting records in the appropriate case management system
Identify common filing issues, including incorrect document formats, missing signatures, incomplete information, incorrect filing codes, and portal errors
Correct routine filing issues when permitted and promptly escalate legal, procedural, or document related questions
Prioritize urgent filings and adjust workload quickly when same day or deadline sensitive requests are received
Maintain accurate tracking of pending, submitted, accepted, and rejected filings
Communicate clearly with attorneys and operations staff regarding filing status, rejections, delays, or additional information needed
Follow established filing procedures, attorney instructions, client requirements, and quality control standards
Support process improvements, portal documentation, filing guides, and training materials
Assist with other document submission or administrative operations functions as needed
Required Skills and Qualifications
Strong administrative and operational skills
High attention to detail and commitment to accuracy
Ability to learn and navigate multiple web based systems and court portals
Comfort working with structured processes, checklists, and detailed instructions
Ability to perform basic calculations, including determining or confirming filing fees
Robust computer skills and experience working with PDF documents, web portals, email, and case management systems
Ability to organize and manage a high volume of transactions
Ability to change priorities quickly and remain calm during urgent or deadline driven situations
Good written communication skills
Ability to identify unusual or incomplete information and escalate appropriately
Ability to work independently while following established procedures
