Role & responsibilities

Key Responsibilities

1. Sales Coordination

- Coordinate with sales executives, customers and factory.

- Prepare quotations, proforma invoices and order documents.

- Maintain and update leads and enquiries in CRM.

- Follow up with customers for quotations, orders and pending requirements.

- Track orders from enquiry to dispatch and installation.

- Coordinate with the Bhiwandi factory for production and dispatch.

- Maintain customer and project-wise databases.

- Coordinate samples and approvals.

2. Payment & Receivable Follow-up

- Maintain customer outstanding statements.

- Follow up for pending payments.

- Prepare weekly receivable and overdue reports.

- Track retention amounts and expected payment dates.

- Escalate delayed payments to the Sales Head/Management.

3. MIS & Reporting

- Daily enquiry report

- Quotation and follow-up report

- Order booking report

- Dispatch report

- Collection report

- Outstanding report

- Salesperson-wise performance report

- Project-wise sales pipeline

- Pending sample/approval report

4. Administration

- Handle day-to-day office administration.

- Maintain office records and documentation.

- Coordinate stationery, courier, housekeeping and office supplies.





- Maintain attendance and basic employee records.

- Coordinate with vendors and service providers.

- Handle incoming calls, emails and general office communication.

- Coordinate meetings and appointments.

5. Customer Service

- Handle routine customer queries.

- Coordinate customer complaints with the relevant departments.

- Track complaint resolution.

- Ensure customers receive timely updates.

Required Skills

- Excellent communication and follow-up skills

- Good knowledge of MS Excel / Google Sheets

- CRM experience preferred

- Good Hindi and English communication; Marathi preferred

- Solid organizational skills

- Ability to manage multiple projects simultaneously

- Construction/building-material industry experience preferred

Key Performance Indicators

The candidate will be evaluated on:

- 100% CRM and enquiry updating

- Timely quotation follow-up

- Accurate order documentation

- Daily MIS reporting

- Customer and payment follow-up

- Effective coordination between sales office and factory

- Minimum errors in order and dispatch coordination
