About the Role

We are seeking an experienced Real Estate Investor Virtual Assistant who has a proven background generating and researching motivated-seller opportunities for U.S. real estate investors.

This is not a general administrative VA position and we are not looking for the normal basic VA applicant.

We are looking for someone who understands how real estate investors find opportunities before they become obvious to the general market.

The primary responsibility will be to consistently identify potentially motivated property owners, thoroughly research the owner and property, organize the information, qualify the prospect, and deliver actionable leads to the investor.

The investor will primarily handle:

- Seller negotiations
- Offers
- Contracts
- Deal analysis
- Closings

The VA's responsibility is to create a reliable pipeline of well-researched, qualified motivated-seller opportunities.

Our primary focus is single-family residential properties in Florida.

2. TARGET LEAD TYPES

The VA should have experience identifying and researching opportunities involving:

- Pre-foreclosures
- Lis Pendens filings
- Foreclosure cases
- Probate properties
- Inherited properties
- Estate-owned properties
- Divorce-related property situations
- Absentee owners
- Vacant properties
- Tired landlords
- Problem tenants
- Eviction-related situations
- High-equity owners
- Free-and-clear properties
- Long-term property owners
- Tax-delinquent properties
- Tax certificates
- Tax deed situations
- Code violations
- Unsafe structures
- Municipal liens
- Properties needing major repairs

The goal is not simply to build huge lists.

The goal is to find homeowners who have a reasonable probability of needing or wanting to sell.

3. PRIMARY RESPONSIBILITIES

The VA will be responsible for:

Lead Generation

Identify motivated-seller opportunities using public records, investor databases, real estate websites, court records, property records, municipal records and other legally available sources.

Property Research

Research each potentially distressed property and create a complete property profile.

Owner Research

Determine:

- Current owner
- Owner mailing address
- Ownership structure
- Individual versus LLC/trust ownership
- Length of ownership
- Homestead status
- Possible absentee ownership
- Possible inherited ownership
- Previous transfers

Distress Research

Identify evidence of possible seller motivation including:

- Foreclosure
- Probate
- Liens
- Judgments
- Delinquent taxes
- Code violations
- Vacancy
- Absentee ownership
- Long-term ownership
- High equity
- Failed listing activity
- Estate ownership
- Landlord fatigue
- Property condition problems

Skip Tracing

Locate accurate contact information for property owners when appropriate, including:

- Phone numbers
- Email addresses
- Mailing addresses
- Possible additional authorized contact information

Lead Organization

Enter and maintain complete information inside the company's CRM or lead-tracking system.

Lead Qualification

Determine which opportunities deserve immediate investor attention.

Daily Reporting

Provide a concise daily report separating:

- Hot leads
- Warm leads
- Follow-up leads
- Newly discovered opportunities
- Leads requiring additional investigation

4. FLORIDA PUBLIC-RECORD RESEARCH SKILLS

This is one of the most important areas of the position.

The VA must already understand—or demonstrate the ability to quickly learn—how to navigate Florida county government databases.

Because Florida records are decentralized, the candidate must be comfortable learning different county systems.

Clerk of Court Research

The VA should be able to locate and interpret information relating to:

- Foreclosure filings
- Lis Pendens
- Probate cases
- Estate cases
- Judgments
- Liens
- Civil cases
- Final judgments
- Mortgage foreclosure actions
- Personal representatives
- Executors
- Administrators
- Court case status

The VA should understand that simply finding a case is not enough.

They must be able to determine:

- Who owns the property
- Who controls the estate
- Whether foreclosure is active
- Where the foreclosure is in the process
- Whether there is a scheduled sale
- Whether the owner appears to still have time to sell

- Property characteristics

The candidate should understand that the Property Appraiser's value is not necessarily current market value.

Tax Collector Research

The VA should be able to investigate:

- Current property taxes
- Delinquent taxes
- Unpaid taxes
- Tax certificates
- Tax deed status
- Tax sale information
- Payment history

Code Enforcement Research

The VA should understand how to look for:

- Open code violations
- Unsafe structures
- Overgrown properties
- Unpermitted work
- Nuisance violations
- Municipal liens
- Accumulated fines
- Vacant-property registrations
- Property-maintenance violations

These can be strong signs of owner distress.

5. MUST-HAVE SKILLSA. U.S. Real Estate Investor Experience

Preferred minimum:

2+ years working directly with U.S. real estate investors, wholesalers, flippers, landlords, acquisitions teams or investment companies.

The candidate should understand investor terminology including:

- ARV
- Comps
- Equity
- LTV
- Mortgage balance
- Assignment
- Wholesale
- Cash purchase
- Distressed property
- Motivated seller
- Absentee owner
- Pre-foreclosure

B. Motivated-Seller Lead Generation

The candidate should demonstrate actual previous experience producing motivated-seller leads.

Ask candidates specifically:

What types of motivated-seller lists have you personally generated?

A qualified candidate should be able to discuss several of the following without needing them explained:

- Probate
- Pre-foreclosure
- Absentee owners
- Tax delinquency
- Code violations
- Vacant properties
- Failed listings
- Expired listings
- FSBO
- High equity
- Long-term ownership
- Tired landlords

C. Public-Record Investigation

The candidate should be comfortable researching information manually instead of relying entirely on one software platform.

Excellent researchers should know how to verify information across multiple sources.

The candidate should understand that skip tracing is about accuracy, not simply producing phone numbers.

The VA should understand how to identify owners appearing across multiple distress lists.

The VA should be capable of using a scoring system such as:

7. BASIC PROPERTY ANALYSIS SKILLS

The VA should be able to perform preliminary property analysis.

They should understand how to estimate:

- Market value

- Estimated equity
- Approximate mortgage balance
- Comparable sales
- Price per square foot
- Potential investor purchase range

They should know the difference between:

- Active listings
- Pending properties

Does the owner have:

- A mortgage
- No mortgage
- Delinquent mortgage payments
- Unknown balance

12. ABILITY TO RECOGNIZE MOTIVATION

An experienced VA should recognize potentially important seller comments such as:

- "I inherited the house."
- "We don't know what to do with it."
- "I'm behind on the mortgage."
- "The tenants stopped paying."
- "I'm tired of being a landlord."
- "The house needs too much work."
- "I live in another state."
- "My parents owned it."
- "We need to settle the estate."
- "The property has been vacant."
- "I don't want to put more money into it."
- "The Realtor couldn't sell it."
- "I need to sell quickly."

These are situations requiring further qualification—not automatic assumptions that someone will sell.

13. AI SKILLS

The VA should be comfortable using AI tools such as ChatGPT to increase productivity.

30. DAILY EXPECTATIONS

An experienced VA might ultimately research:

50–100 initial records per day

but quality should come before volume.

From those records, the goal may be to identify approximately:

10–20 higher-quality opportunities

depending upon the source.

The investor should ideally receive only the opportunities deserving closer attention.

31. DAILY INVESTOR REPORT

The VA should provide something similar to:

33. COMPENSATION PHILOSOPHY

I would prioritize talent over hourly cost.

Consider a structure including:

Base compensation

Competitive enough to attract an experienced U.S. real estate investor VA.

Performance bonus

Possible bonuses for:

- Accepted offers
- Closed transactions

However, structure incentives carefully so the VA is rewarded for quality, not simply creating large numbers of poor-quality leads.
