Job Overview

The Sales Coordinator will support the MEPF Division in managing day-to-day sales activities and ensuring smooth coordination with clients and internal teams. The position requires good communication, follow-up, documentation, and organizational skills.

Job Responsibility

1. Quotation Preparation & Submission
- Prepare quotations based on client requirements and information received from the concerned team.
- Coordinate with the Design/Technical Team for required details.
- Obtain necessary approval and submit quotations to clients through approved communication channels.
- Maintain records of quotations submitted.

2. Quotation Follow-up
- Follow up with clients on submitted quotations.
- Record client feedback, revisions, negotiations and expected confirmation dates.
- Update the concerned senior regarding significant developments.

3. Purchase Order Follow-up
- Follow up with clients for Purchase Orders after quotation approval.
- Verify basic PO details and coordinate with the concerned internal team.
- Maintain records of received and pending POs.

Advance & Payment Follow-up
- Coordinate for advance request letters and payment-related documentation.
- Follow up with clients for advance and outstanding payments, as assigned.
- Coordinate with the Accounts Team and maintain payment follow-up records.

5. Project Confirmation & Internal Coordination
- Communicate confirmed project details to the Design Team through official communication.
- Share relevant documents such as quotation, PO, scope of work and client details.
- Coordinate with concerned internal teams to ensure smooth handover of the project.

6. Invoice Coordination
- Coordinate with the Accounts/Billing Team for invoice preparation and submission.
- Provide required project, client and PO details.
- Follow up on invoice-related requirements with clients.

7. Customer Communication
- Handle routine client communication related to quotations, POs, billing, payments and project documen
