Job Description Tender Executive

Department: Tendering Executive

Location: Vidyavihar, Mumbai

Reporting To: Manager

Key Responsibilities
- Identify and monitor relevant government, municipal, PSU and private tenders through appropriate tender portals.
- Review tender documents, eligibility criteria, scope of work, BOQ, technical specifications, EMD, tender fees, and other requirements.
- Prepare tender checklists and ensure all required documents are available before submission.
- Coordinate with Commercial, Finance, HR, Operations and Technical teams for required information and documents.
- Prepare technical and commercial tender documentation as per tender requirements.
- Coordinate for EMD, tender fees, performance security, bank guarantees and other financial requirements.
- Upload and submit tenders within prescribed timelines and ensure successful submission.
- Prepare tender queries, clarification requests and pre-bid documentation wherever required.
- Maintain proper records of submitted tenders, tender status, results, agreements and related documents.




- Track tender opening dates, technical evaluation, financial bids, negotiations and award status.
- Assist in preparation of comparative statements, costing sheets and bid analysis.
- Ensure compliance with tender conditions and highlight commercial, technical or contractual risks to management.
- Coordinate with project/operations teams for manpower, equipment, costing and technical inputs required for bids.
- Maintain a database of ongoing, upcoming, submitted and awarded tenders.
- Support management in preparing tender-related MIS and periodic reports.

Candidate Profile
- Qualifiation – Mechanical engineering background only

Experience: Min 3 years of experience in tendering/bidding, preferably in government, municipal, infrastructure, environmental services, firefighting, mechanical or O&M; projects.
- Valuable understanding of government/PSU tendering procedures and e-tender portals.
