1. Job Purpose

The Sales Coordinator will support the sales team in managing customer enquiries, preparing quotations, coordinating orders, maintaining sales records, and ensuring smooth communication between customers and internal departments. The role is responsible for ensuring timely execution of the complete sales coordination process from enquiry to dispatch.

2. Key Roles & Responsibilities

Sales Coordination
- Coordinate with the sales team regarding customer enquiries and requirements.
- Prepare and maintain quotations, proposals, tenders, and other sales-related documents.
- Follow up with customers regarding quotations, purchase orders, and order confirmations.
- Maintain records of enquiries, quotations, orders, and sales activities.

Customer Coordination
- Act as a coordination point between customers and the internal sales team.
- Respond to customer queries and provide required information on time.
- Coordinate with customers regarding order specifications, delivery schedules, and documentation.
- Maintain qualified and positive customer relationships.





Order Processing & Execution
- Coordinate with the Commercial, Production, Design, Procurement, Quality, and Dispatch departments for order execution.
- Ensure customer purchase orders are properly reviewed and processed.
- Track order status from receipt of order until final dispatch.
- Follow up internally to ensure timely production and delivery commitments.

Documentation & MIS
- Maintain updated customer databases and sales records.
- Prepare daily, weekly, and monthly sales reports/MIS.
- Maintain records of pending quotations, order status, payment status, and dispatch details.
- Support preparation of presentations, sales reports, and management review data.

Payment & Dispatch Coordination
- Coordinate with the Accounts department regarding customer payments and outstanding amounts.
- Follow up on pending payments as instructed by the sales team.
