Export Operations & Documentation Officer

Department: Exports - Operations & Compliance

Reports To: Head of Exports / Operations Manager

The role manages the backend operations and documentation required for successful export transactions. The officer ensures compliance with export regulations, manages documentation, coordinates with customs authorities, and maintains records for export shipments.
Responsibilities
- Prepare and manage export documentation (commercial invoices, packing lists, certificates)
- Coordinate with customs brokers and freight forwarders
- Ensure compliance with export regulations and licensing requirements
- Manage Advance Authorization (AA) and other export incentive schemes
- Track shipments from order to delivery and handle post-shipment documentation
- Prepare shipping instructions and coordinate with logistics partners
- Handle Letter of Credit (LC) processing and verification
- Maintain export records for audit and compliance purposes
- Coordinate certificate of origin and other required certifications




- Manage export invoicing in Tally/ERP Next system
- Handle Shipping Bill filing and related customs documentation
- Ensure timely and accurate GST input credit recovery for exports
- Coordinate with accounts team on export payment settlements
- Maintain vendor and buyer information for export compliance
- Track export compliance calendars (ROSL, export data reporting)
Requirements
Required Qualifications
- 3-4 years of experience in export operations or customs clearance
- Knowledge of export documentation and procedures
- Understanding of Indian export regulations and compliance
- Familiarity with Shipping Bill, commercial invoices, and export certifications
- Knowledge of Tally or accounting software
- Robust English communication and writing skills
- Attention to detail for document accuracy
- Experience with LC processing or international trade
Preferred Qualifications
- EXIM code knowledge and product classification
