About the Role
Ilsheguri is a growing fresh seafood B2C business based in Kolkata. We are looking for a responsible, organised and people-oriented HR & Administration Manager/Executive to manage recruitment, employee administration, attendance, staff productivity, office discipline and day-to-day HR operations.
The selected candidate will work closely with the CEO and department heads and will play an important role in building a qualified HR and administrative system as the company expands.
This is a hands-on startup HR role. The candidate should be comfortable independently managing recruitment, employee records, attendance, staff coordination, office administration and performance monitoring.
Key Responsibilities1. Recruitment & Hiring
- Understand manpower requirements from each department.
- Prepare job descriptions and job postings.
- Post vacancies on appropriate job portals and recruitment channels.
- Screen CVs and shortlist candidates.
- Conduct initial HR interviews.
- Coordinate technical/department interviews.
- Maintain candidate databases.
- Coordinate interview schedules and joining formalities.
- Conduct background/reference checks where required.
- Prepare offer and appointment documentation.
- Maintain a proper recruitment tracker.
2. Workforce Planning
- Maintain the company's manpower plan.
- Track vacancies department-wise.
- Identify upcoming manpower requirements.
- Coordinate recruitment for sales, field executives, delivery staff, office staff and other positions.
- Monitor employee turnover and replacement requirements.
3. Attendance & Leave Management
- Maintain daily employee attendance.
- Monitor late coming, absence and leave.
- Maintain leave records.
- Coordinate attendance of field and delivery employees.
- Prepare monthly attendance reports for payroll processing.
- Identify repeated attendance or punctuality issues.
4. Staff Productivity Monitoring
- Establish employee KPI and productivity tracking systems with department heads.
- Collect daily/weekly productivity reports.
- Monitor field staff attendance and activity reports.
- Track employee performance against assigned KPIs.
- Highlight consistently underperforming employees to the relevant manager and CEO.
- Maintain monthly employee performance records.
Important:
The HR will monitor and report productivity; department heads remain responsible for achieving business targets.
5. Employee Management
- Conduct employee induction and onboarding.
- Explain company policies and code of conduct.
- Maintain employee files and documentation.
- Coordinate ID cards, uniforms and company assets.
- Handle employee queries and routine HR issues.
- Support employee engagement and retention.
- Maintain professional workplace discipline.
6. Office Administration
- Manage day-to-day office administration.
- Maintain office supplies and stationery.
- Coordinate housekeeping and office maintenance.
- Maintain employee and vendor records.
- Coordinate office equipment and basic facility requirements.
- Maintain administrative registers and documentation.
- Coordinate with vendors and service providers.
- Support meetings, events and company activities.
7. Payroll & Compliance Coordination
- Prepare monthly attendance and payroll inputs.
- Coordinate with the company's accountant/CA for salary processing.
- Maintain employee salary records.
- Coordinate statutory HR documentation as applicable.
- Ensure employee documents and records are properly maintained.
- Assist management/CA with labour-law and HR compliance requirements.
8. HR Policies & SOPs
Help the company establish and maintain:
- Employee handbook
- Attendance policy
- Leave policy
- Recruitment policy
- Code of conduct
- Performance appraisal system
- Incentive policy
- Disciplinary procedure
- Joining and exit procedures
- Asset handover procedure
- Field staff reporting system
9. Employee Performance Review
- Coordinate monthly performance reviews.
- Maintain employee KPI scorecards.
- Collect department-head feedback.
- Prepare performance reports for management.
- Track probation-period performance.
- Coordinate confirmation, extension or performance-improvement processes.
10. Exit & Full-and-Final Coordination
- Manage resignation documentation.
- Conduct exit interviews.
- Coordinate clearance from departments.
- Ensure company assets are returned.
- Coordinate full-and-final settlement with accounts.
- Update employee records after exit.
Daily Responsibilities
The candidate should be capable of independently managing:
Attendance → recruitment follow-up → employee queries → staff productivity reports → office administration → documentation → management reporting.

Candidate Requirements
- 2–5 years of HR/Admin experience.
- MBA/PGDM in Human Resources preferred.
- Strong communication and interpersonal skills.
- Good knowledge of recruitment processes.
- Experience with job portals and candidate screening.
- Good Excel/Google Sheets skills.
- Comfortable maintaining HR databases and reports.
- Strong organisational and follow-up skills.
- Ability to handle multiple departments simultaneously.
- Mature and professional approach to employee issues.
- Ability to work independently in a startup environment.
- Experience in FMCG, food, e-commerce, logistics, retail or startup environments will be an advantage.
