Job SummaryThe Data Entry Operator is responsible for inputting text, numerical data, and print specifications into digital databases, Enterprise Resource Planning (ERP) systems, and typesetting software. They ensure all customer requirements—such as paper type, ink color, dimensions, and print quantities—are accurately transferred to production schedules.

Key Responsibilities

- Log Print Orders: Input customer details, project specifications, print quantities, and deadlines into management systems.
- Transcribe Content: Convert physical manuscripts, hand-written drafts, or audio notes into digital formats for publication.
- Track Inventory: Record inventory logs for printing press raw materials like paper stocks, specialized inks, plates, and bindings.
- Review Job Sheets: Compare physical client order sheets against digital print proofs to catch errors before printing.
- Verify Data Integrity: Cross-check text strings, pagination, and numerical margins to eliminate typing or spacing discrepancies.
- Format Text: Apply basic layout rules, fonts,



and typographic alignment based on client-provided design sheets.
- Update Job Status: Track jobs through pre-press, press, and post-press phases to keep scheduling systems accurate.
- Generate Reports: Produce daily output summaries, waste material logs, and delivery manifests for management.
- Perform Backups: Run daily backups of text files, client formats, and proprietary database entries.

Requirements and Qualifications

- Education: Graduation in any stream.
- Typing Speed: Minimum of 50 to 70 words per minute (WPM) with a 99% accuracy rate.
- Technical Skills: Proficiency in Microsoft Excel, Google Sheets, print ERP software (like PrintKey or EFI), and Adobe Acrobat.
- Industry Knowledge: Basic familiarity with print shop terms (e.g., GSM, bleed, CMYK vs. RGB, binding styles) is highly valued.
- Attention to Detail: Exceptional ability to spot typographical mistakes, missing lines, or misaligned formatting
