Senior Manager / Head – Export Documentation & Logistics

LOCATION

JOB SUMMARY

A knitwear export company in Tiruppur is seeking a strong and experienced Export Documentation & Logistics Head to take complete responsibility for export documentation, customs and banking compliance, international freight, local material movement and closure of every shipment file.

The candidate must independently control documentation staff, customs brokers, freight forwarders, transporters, shipping lines, airlines, banks and internal departments. The objective is to ensure on-time shipment without documentation errors, missed cut-offs, bank discrepancies, demurrage, detention or loss of export benefits.

KEY RESPONSIBILITIES

EXPORT DOCUMENTATION

- Prepare and verify commercial invoices, packing lists, shipping bills and shipment instructions Check purchase orders, Incoterms, payment terms, consignee, notify-party and buyer-document requirements Coordinate certificates of origin, inspection certificates, test reports and other shipment documents Review shipping-bill checklists before customs filing Verify HS codes, GST, LUT, duty drawback, RoDTEP and applicable export-scheme declarations Review draft bills of lading, sea waybills and airway bills before final issuance Prepare complete pre-shipment and post-shipment document sets Upload and submit documents to buyers, banks, forwarders and authorised portals within deadlines Handle LC, DA, DP, CAD, TT, documentary collection and open-account shipments Prevent and resolve buyer, customs and bank-document discrepancies Follow up on export payment realisation, eBRC and EDPMS closure Maintain complete, shipment-wise digital and physical files Support GST refund, export incentives, banking and statutory audits

INTERNATIONAL LOGISTICS

- Maintain a live shipment calendar covering inspection, ex-factory, cargo cut-off, documentation cut-off, vessel or flight schedule and buyer delivery date Arrange sea, air, road, courier and multimodal export shipments Obtain and compare freight quotations, transit times and routing options Book shipments with freight forwarders, shipping lines and airlines Coordinate container, vehicle and cargo movement to the warehouse, CFS, port or airport Ensure compliance with SI, VGM, customs and cargo cut-offs Track customs clearance, departure, transhipment and final delivery Control freight, amendment,



detention, demurrage, storage and other logistics charges Escalate rollover, shut-out, customs, booking or documentation risks immediately

LOCAL AND JOB-WORK LOGISTICS

- Plan and control movement of yarn, fabric, trims and garments between the factory and job-work vendors Coordinate vehicles for knitting, dyeing, printing, embroidery, washing, processing and other external units Ensure every outward movement has an authorised delivery challan, gate pass, quantity record and expected return date Obtain vendor acknowledgement and proof of delivery for every material movement Track material lying at each vendor and follow up until complete return Prevent unrecorded, unauthorised or delayed material movement Coordinate urgent pickup and delivery without disturbing planned factory logistics Verify transporter invoices, waiting charges, additional trips and other claims Maintain vehicle, driver, vendor, challan, quantity and POD records Report shortages, damage, delays or disputed receipt immediately Ensure e-way bill and other applicable movement documents are prepared correctly Submit a daily pending-material and vehicle-movement report

TEAM AND PROCESS CONTROL

- Establish a maker-checker system for all critical documents Manage and train documentation and logistics executives Maintain buyer-wise and country-wise documentation checklists Maintain live trackers for shipments, pending documents, vendor material, payment realisation and export benefits Coordinate with merchandising, production, finishing, packing, accounts and commercial teams Provide management with daily exception reporting rather than general updates Conduct root-cause analysis for missed cut-offs, documentation errors and avoidable logistics costs Ensure the department operates without continuous promoter follow-up

CANDIDATE REQUIREMENTS

- Graduate; qualification in Export Management, Foreign Trade,



Logistics or Commerce preferred Minimum 10–15 years of export documentation and logistics experience At least 4 years in a managerial or department-head position Garment or textile-export experience is compulsory Solid knowledge of pre-shipment and post-shipment documentation Practical experience with sea, air, road and courier exports Knowledge of shipping bills, BL/AWB, certificates of origin, customs and banking documentation Experience with LC and other export-payment terms Working knowledge of drawback, RoDTEP, GST exports, eBRC and EDPMS Experience managing freight forwarders, customs brokers, transporters and job-work material movement Strong Excel, ERP, email and online-portal skills Excellent accuracy, follow-up and deadline control Strong written and spoken English; Tamil preferred Must be willing to work full-time from Tiruppur

COMPENSATION

Senior compensation, fully negotiable for an exceptional candidate based on experience and previous responsibilities.

Pay: From ₹40,000.00 per month
