The Tender Executive will be responsible for end-to-end management of government, PSU, corporate, institutional, and private-sector tenders. The role involves identifying suitable tender opportunities, analysing tender documents, coordinating technical and commercial inputs, preparing compliant bid submissions, managing documentation, and ensuring timely submission of high-quality proposals.
The position will also support the organisation in developing a strong tender pipeline, maintaining tender databases, monitoring bid outcomes, and improving the company's overall tender success rate.
3. Key ResponsibilitiesA. Tender Identification & Opportunity Management
- Identify and monitor relevant tenders, RFPs, RFQs, EOIs, empanelment opportunities, and government procurement opportunities.
- Track opportunities through government portals, PSU portals, GeM, e-tendering platforms, and other authorised sources.
- Evaluate opportunities based on eligibility, scope, estimated value, competition, resources, and commercial viability.
- Maintain a tender opportunity pipeline and submit recommendations to management.
B. Tender Document Analysis
- Thoroughly study RFPs, NITs, tender notices, BOQs, technical specifications, eligibility criteria, evaluation methodology, payment terms, and contractual conditions.
- Prepare tender summaries highlighting:
- Eligibility criteria
- Mandatory documents
- Technical requirements
- Financial requirements
- EMD / Tender Fee / Security Deposit
- Experience requirements
- Turnover and financial criteria
- Important dates
- Evaluation methodology
- Key risks and obligations
- Conduct detailed compliance checks before bid submission.
C. Bid Preparation & Submission
- Coordinate preparation of technical and commercial bids.
- Prepare compliance matrices, bid checklists, covering letters, declarations, undertakings, affidavits, forms, and other tender documentation.
- Coordinate with internal departments for obtaining required certificates, financial documents, credentials, work orders, completion certificates, GST documents, and statutory registrations.
- Coordinate with consultants, architects, technical experts, CA/CS/legal advisors, and other external agencies wherever required.
- Ensure bids are complete, accurate, compliant, and submitted within the prescribed deadline.
- Manage online tender submission, including document uploading, digital signatures, EMD submission, tender fee payment, and final bid submission.
D. Commercial & Pricing Coordination
- Coordinate with the finance and management teams for preparation of commercial bids and pricing.
- Analyse BOQ, rate schedules, taxes, manpower costs, operational costs, overheads, and margins.
- Assist management in developing competitive and commercially viable bid prices.
- Review financial bid formats and ensure there are no arithmetic or compliance errors.
E. Government & E-Tendering Portals
- Manage tender submissions on platforms such as GeM, CPPP, state e-tendering portals, municipal portals, PSU portals, and other relevant procurement platforms.
- Maintain portal registrations, vendor profiles, DSCs, credentials, and required documentation.
- Monitor corrigenda, addenda, pre-bid clarifications, amendments, and deadline extensions.
- Ensure all changes issued by the tendering authority are incorporated into the bid.
F. Pre-Bid & Clarification Management
- Prepare pre-bid queries in consultation with technical and management teams.
- Attend or coordinate pre-bid meetings wherever required.
- Analyse responses issued by the tendering authority.
- Incorporate clarifications and amendments into the final submission.
G. Post-Bid Management
- Track technical evaluation, financial opening, negotiations, reverse auctions, presentations, and clarification requests.
- Coordinate responses to queries raised by the client/tendering authority.
- Maintain records of bid results, L1/L2 status, award decisions, and reasons for unsuccessful bids wherever available.
- Coordinate documentation required after selection, including performance security, agreements, affidavits, and contract documentation.
H. Tender MIS & Reporting
- Maintain a comprehensive tender database.
- Prepare weekly/monthly tender pipeline reports for management.

- Orders won/lost

- Conduct post-bid analysis to improve future submissions.
4. Key Skills Required
- Strong knowledge of tendering and procurement processes.
- Excellent understanding of government and PSU tender documentation.
- Ability to interpret RFPs, contracts, BOQs, eligibility criteria, and technical specifications.
- Strong drafting and documentation skills.
- Excellent Excel and MS Office skills.
- Familiarity with GeM and e-tendering portals.
- Solid analytical and commercial understanding.
- Excellent coordination and follow-up skills.
- Ability to work under strict deadlines.
- High attention to detail.
- Strong written and verbal communication.
- Ability to manage multiple tenders simultaneously.
Pay: ₹25,000.00 - ₹50,000.00 per month
