About the Role
We are looking for an experienced and proactive Admin & Operations Executive to manage client communication, office operations, administrative coordination, and day-to-day activities of a Chartered Accountant firm.
The ideal candidate should be well-organised, professional in communication, comfortable dealing with clients, and capable of independently coordinating multiple activities while ensuring that work moves smoothly across the firm.
Key ResponsibilitiesClient Communication & Coordination
- Act as a primary point of contact for clients for routine communication and follow-ups.
- Coordinate with clients for collection of financial statements, documents, information, confirmations, and other requirements.
- Follow up with clients for pending documents, approvals, payments, signatures, and statutory compliance requirements.
- Schedule client meetings, calls, discussions, and appointments.
- Maintain professional and timely communication through email, phone, and messaging platforms.
- Ensure client requests and queries are appropriately communicated to the concerned team members.
- Maintain proper records of client communication and follow-up status.
Office & Firm Operations
- Manage day-to-day administrative operations of the CA firm.
- Coordinate internally with Chartered Accountants, article assistants, accountants, and other team members.
- Maintain work trackers, task lists, client databases, and status reports.
- Monitor deadlines and follow up with team members and clients to ensure timely completion of assignments.
- Assist in coordinating statutory and regulatory compliance-related activities handled by the firm.
- Maintain proper filing and organisation of physical and digital documents.
- Coordinate with vendors, service providers, courier agencies, and other external parties.
- Assist with office procurement, stationery, subscriptions, and general administrative requirements.
CA Firm Related Activities
- Coordinate documentation and information required for audits, taxation, GST, ROC/MCA, valuation, and other professional assignments.
- Assist in maintaining client records, engagement documentation, KYC documents, and other firm records.
- Coordinate signing, execution, and submission of documents wherever required.
- Assist in preparing basic MIS, follow-up reports, and management updates.
- Support the partners and senior team members in administrative and operational matters.
- Ensure confidentiality and proper handling of sensitive client and financial information.
Required Skills & Qualifications
- 3–5 years of relevant experience in administration, operations, client coordination, or a professional services environment.
- Prior experience in a Chartered Accountant firm, accounting/tax firm, audit firm, consulting firm,
or similar professional services organisation will be preferred.
- Excellent verbal and written communication skills.
- Strong follow-up and coordination skills.
- Good working knowledge of basic softwares used in day to day business.
- Ability to maintain trackers, records, and documentation systematically.
- Strong organisational and time-management skills.
- Ability to handle multiple clients and tasks simultaneously.
- Professional attitude with good interpersonal skills.
- Ability to maintain strict confidentiality of client and firm information.
Preferred
- Experience in handling clients for a CA / audit / tax / consulting firm.
- Familiarity with GST, Income Tax, MCA/ROC, audit, accounting, and other compliance processes.
- Experience with accounting or practice-management software will be an advantage.
- Candidates who can independently manage administrative and coordination responsibilities will be preferred.
