Estate Manager (EM)

Location: Grand Omaxe, Sector 93B, Noida
GOAAO is seeking an experienced and hands-on Estate Manager to lead the day-to-day management of a large residential condominium. The role requires strong ownership of CAM collection and financial discipline, budgeting, estate operations, vendor management, preventive maintenance, procurement, safety, statutory compliance, government liaison, and resident services.
The Estate Manager will be the senior on-site professional responsible for execution, working closely with the Board of Management, residents, facility teams, vendors, and government/statutory authorities.
Key Responsibilities
- CAM Collection & Financial Discipline: Drive monthly CAM recovery with a target of 95%+ collection, maintain ageing and recovery trackers, follow up on long-pending dues, and support improvement of non-CAM income.
- Budgeting & Financial Monitoring: Support preparation of annual O&M; budgets, track expenditure against approved budgets, analyse variances, anticipate cash-flow requirements, and identify opportunities for cost optimisation.
- Estate Operations & Maintenance: Ensure reliable operation and preventive maintenance of lifts, DG/electrical systems, fire systems, water supply, plumbing, drainage, civil infrastructure, basements, common areas, and horticulture.
- Vendor & Service Management: Manage security, housekeeping, technical maintenance, horticulture and other service providers; monitor manpower, SLAs and performance; verify services before certification of bills.
- Procurement & Contracts: Maintain valid contracts/AMCs and ensure proper RFQs, comparative statements, purchase orders, approvals, rate contracts and procurement documentation.
- Asset & Complaint Management:
Maintain an updated asset register, conduct regular estate inspections, minimise breakdowns and ensure timely closure of resident complaints.
- Safety & Rule Enforcement: Ensure CCTV and visitor-management systems are functional; enforce parking/basement and estate rules; maintain violation records and proactively identify safety risks.
- Statutory Compliance & Government Liaison: Ensure timely licences, NOCs, renewals, inspections and statutory compliances relating to lifts, fire safety, electrical systems, DG sets and other applicable requirements. Represent the AOA before NOIDA Authority and other government/statutory offices as authorised, submit applications and documentation, coordinate inspections, and proactively follow up for NOCs, licences, permissions, approvals and closure of pending matters.
- MIS, Reporting & Presentations: Prepare structured monthly dashboards, Excel-based MIS and qualified PowerPoint presentations for the Board and General Body covering CAM recovery, budgets, income and expenditure, vendor performance, complaints, maintenance, compliance, safety risks, projects and key pending actions.
Candidate Profile
Qualification: Degree/Diploma in Engineering or relevant technical/facility management qualification. Electrical, Mechanical or Civil Engineering preferred.
Experience: Preferably 10+ years in estate/facility management, with significant experience managing a large residential condominium/high-rise residential complex.
Prior experience working with an AOA/RWA/Board of Management and government/statutory authorities will be an advantage.

- Ability to present financial and operational information clearly to the Board/General Body
- Effective resident handling, communication and complaint resolution
- Strong follow-through, accountability and ability to get work executed and matters closed
This is a hands-on operational leadership role requiring high ownership, discipline, integrity and responsiveness. The successful candidate should be comfortable moving between on-ground estate operations, financial/recovery management, Board reporting, resident interaction and external liaison with government authorities.
