Position: Strategic Executive Assistant to the Director
Department : Directors Office
Reporting To Managing Director / Director /CEO
Position Summary The Strategic Executive Assistant will serve as the Director’s trusted right hand, ensuring that the Director’s time is utilized only for high-value strategic decisions, business growth, and leadership responsibilities.
The primary objective of this role is to proactively manage the Director’s day-to-day operational, administrative, coordination, and follow-up activities, ensuring that routine matters are resolved efficiently without requiring the Director’s direct involvement.
The role requires robust ownership, business understanding, problem-solving ability, excellent communication, and exceptional organizational skills to ensure smooth execution of business operations while maximizing the Director’s productivity.
Key Responsibilities
1. Executive Time & Calendar Management
* Manage the Director’s calendar, appointments, meetings, travel plans, and daily priorities.
- Organize the Director’s schedule to maximize productivity and business effectiveness.
- Filter and prioritize requests, ensuring that only critical matters requiring strategic decisions reach the Director.
1. Daily Operations Management
* Independently handle routine operational and administrative matters.
- Resolve day-to-day issues by coordinating with concerned departments before escalating them.
- Ensure smooth functioning of the Director’s Office with minimal supervision.
1. Follow-up & Execution
* Follow up on all instructions, assignments, and commitments made by the Director.
- Maintain an Action Tracker and ensure timely completion of every assigned task.
- Regularly update the Director on the status of pending and completed activities.
1. Cross-Functional Coordination
* Act as the central communication link between the Director and all departments.
- Coordinate effectively with Sales, CRM, Projects, Construction, Accounts,
Finance, HR, Legal, Purchase, Administration, and other business functions.
- Remove bottlenecks and ensure seamless execution across departments.
1. Project Monitoring
* Track organizational projects from planning to completion.
- Monitor timelines, deliverables, approvals, budgets, and project milestones.
- Escalate only significant issues requiring management intervention.
1. Meeting Management
* Schedule meetings and prepare agendas.
- Record Minutes of Meeting (MoM).
- Track every action item until successful closure.
- Ensure meetings lead to execution and measurable outcomes.
1. Documentation & Communication
* Draft professional emails, business letters, presentations, reports, proposals, notices, and official documents.
- Prepare concise executive summaries and decision notes for quick review.
- Maintain confidential business records and documentation.
1. External Coordination
* Coordinate with Architects, Consultants, Chartered Accountants, Legal Advisors, Government Authorities, Vendors, Customers, Business Partners, and other stakeholders.
- Ensure timely completion of approvals, documentation, and external follow-ups.
1. Business Analysis & Reporting
* Prepare MIS reports, dashboards, business reviews, and performance reports.
- Conduct market research, competitor analysis, and industry research.
- Support the Director with data-driven insights for informed decision-making.
1. Director Productivity & Time Optimization (Core Responsibility)
* Take ownership of routine activities that consume the Director’s valuable time.
- Develop systems, trackers, SOPs,
and workflows to improve operational efficiency.
- Ensure the Director remains focused on strategic planning, business expansion, leadership, and key decision-making rather than routine operational matters.
1. Confidentiality & Professionalism
* Handle confidential business, financial, legal, and strategic information with complete discretion.
- Maintain the highest standards of professionalism, integrity, and accountability in all interactions.
Preferred Qualifications
- Bachelor’s or Master’s degree in Business Administration, Commerce, Finance, Management, Engineering, or a related field.
- MBA will be preferred.
- 1–6 years of experience as an Executive Assistant, Strategic Assistant, Business Analyst, Project Coordinator, or similar role.
