Medical Office/Clinical Administrative Coordinator
Job Overview The Medical Office / Clinical Administrative Coordinator is responsible for supporting the day-to-day clinical and administrative operations of the healthcare practice. The role involves coordinating patient appointments, managing electronic medical records, handling patient and provider communications, processing medical documentation, supporting insurance and billing activities, and coordinating medication and medical supply requirements. The position requires accuracy, confidentiality, strong organizational skills, and the ability to manage multiple healthcare-related tasks efficiently.
Key Responsibilities
- Patient Scheduling & Care Coordination
Schedule, reschedule, and cancel patient appointments while maintaining accurate provider calendars.Coordinate new-patient appointments and support productive clinic capacity management.Coordinate communication between patients, providers, pharmacies, specialists, and other healthcare stakeholders.Follow up on pending appointments, requests, and patient-related tasks.
- EMR & Medical Records Management
Utilize AthenaOne EMR for patient navigation, appointment management, demographic verification, and review of clinical information.Maintain accurate electronic patient records and clinical documentation.Process medical-record requests and ensure records are appropriately obtained, routed, uploaded, and indexed.Monitor and upload medical records, referrals, insurance documentation, and other clinical information to appropriate patient records or portals.
- Patient & Provider Communication
Monitor and return missed calls and voicemails and ensure timely follow-up.Manage the practice's main email inbox by reviewing, prioritizing, responding to, and routing communications.Communicate professionally with patients regarding appointments, records, insurance, billing, and administrative concerns.Utilize GoTo and other communication platforms to support clinical operations.
- Insurance & Billing Support
Assist with insurance verification and eligibility checks.Review insurance information and support resolution of insurance-related issues.Assist patients and staff with billing-related queries and escalate complex concerns when required.Maintain accurate insurance and billing documentation.
- Medical & Office Supply Coordination
Monitor medication inventory and ensure adequate stock levels.Coordinate timely replenishment of medications and medical supplies.Manage procurement of medical and office supplies through vendor portals.Research vendors, pricing, and purchasing options to support cost-effective procurement.Support medication purchasing and cost-saving initiatives through vendor comparison and price evaluation.Maintain accurate purchasing, inventory, and supply documentation.
- Administrative & Clinical Operations
Support daily clinical and administrative workflows to ensure smooth practice operations.Coordinate communication between patients,
healthcare providers, pharmacies, insurance companies, and office staff.Prioritize multiple tasks while maintaining accuracy, confidentiality, and timely completion.Identify pending tasks and follow up on outstanding requests.Maintain accurate patient, insurance, medication, procurement, and administrative documentation.Handle sensitive patient information in accordance with confidentiality and privacy requirements.
- Qualifications
Graduate
2 year experience in healthcare/pharmacy-related experience.
Experience in clinical administration and healthcare operations.
Practical experience with US healthcare workflows.
Experience with EMR and patient-management systems.Knowledge of patient scheduling, medical documentation, insurance verification, billing support, and healthcare communication.
Understanding of medication management, inventory, and procurement.Experience coordinating with patients, physicians, pharmacies, and insurance companies.
Ability to manage confidential information and high-volume workloads with accuracy.
Experience supporting remote and tele-health clinical operations.
