KEY RESPONSIBILITIES
Payroll Operations
- Manage payroll input collection, validation, test payroll, variance review, finalization and salary disbursement for 2,000+ employees.
- Process full-and-final settlements accurately and within agreed timelines, including recoveries, leave encashment and statutory deductions.
- Own the payroll calendar, cut-off governance, approvals and dependencies to ensure on-time closure each cycle.
- Analyze period-on-period payroll variances and prepare a clear payroll cost variance pack for Global Controller review.
Payroll Accounting
- Import, post and reconcile payroll entries in Oracle Fusion; finalize provisions, accruals, carryforwards and cost allocations.
- Review salary-related accounts including advances, deposits, loans, liabilities, recoveries and employee balances.
- Complete payroll payables, bank and clearing-account reconciliations, expense analysis and month-end accounting entries.
- Coordinate gratuity and leave actuarial valuation data, validate assumptions and reconcile outputs to the general ledger.
Statutory & Tax
- Validate payroll compliance and ensure accurate, timely statutory remittances, returns and reconciliations.
- Prepare and file Form 24Q and related withholding-tax reconciliations; maintain complete supporting records.
- Provide payroll income-tax expertise and coordinate timely, evidence-based responses to notices and assessments.
Controls & Audit
- Execute and evidence SOX payroll controls, segregation of duties, approvals and access reviews.
- Support internal, statutory and external payroll audits; track observations and close corrective actions.
- Protect confidential payroll data through role-based access, secure file handling, retention controls and periodic access certification.
Systems & Reporting
- Use Oracle Fusion HCM and Financials for payroll processing, accounting, reporting, issue resolution and process controls.
- Produce payroll MIS and dashboards covering payroll cost, headcount, exceptions, compliance and service levels.
- Reconcile HR master data, payroll outputs, bank files and general ledger totals; resolve interface and data-quality exceptions.
Employee Service - Resolve employee payroll queries within agreed service levels, communicate clearly and use root-cause analysis to prevent recurrence. People Leadership - Train new team members, maintain process documentation and create effective backups for all critical payroll activities.
Process Improvement - Identify control gaps and manual effort; implement standardization, automation and preventive checks with measurable benefits.
QUALIFICATIONS, EXPERIENCE & SKILLS
Education - Commerce, Finance, Accounting, HR or related graduate qualification.
Experience - Minimum 7 years of payroll management experience, including ownership of large employee payrolls.
ERP - Hands-on Oracle Fusion HCM and payroll accounting experience.
Technical - Strong payroll accounting, taxation, statutory compliance and reconciliation knowledge.
Analytics - Advanced Excel, analytical problem-solving, dashboarding and variance analysis.
Leadership - Team supervision, training, stakeholder management and explicit employee communication.
International Exposure - Exposure to South Africa payroll and local statutory requirements would be an additional advantage.
