Job Purpose To ensure accurate, timely, and compliant preparation, processing, and coordination of import-related documents for smooth customs clearance and on-time delivery of materials without production impact.
Key Responsibilities
1. Import Documentation Handling
- Prepare, verify, and maintain complete import documentation including:
- Commercial Invoice
- Packing List
- Bill of Lading / Airway Bill
- Certificate of Origin
- Insurance Certificate
- HS Code & tariff classification documents
- Ensure correctness to avoid customs queries, penalties, and clearance delays.
2. Coordination with Stakeholders
- Coordinate with overseas suppliers for timely receipt of shipping documents.
- Work closely with CHA (Custom House Agent) for customs clearance activities.
- Liaise with freight forwarders, shipping lines, and airlines for document submission and ETA tracking.
3. Customs & Statutory Compliance
- Ensure compliance with Indian Customs regulations, DGFT norms, BIS requirements, and company policies.
- Support clearance under FTA, EPCG, Advance License, or other duty exemption schemes, if applicable.
- Handle customs queries, amendments, and document corrections.
4. ERP & Record Management
- Update import shipment details in ERP / SAP systems.
- Maintain proper import shipment records, registers, and soft copies for audits and traceability.
- Support internal and external audits by providing required documentation.
5. Clearance & Delivery Support
- Track customs clearance progress and flag delays proactively.
- Coordinate with logistics team for post-clearance transportation to the plant/warehouse.
- Monitor detention, demurrage risks, and escalate when required.
6. Reporting & MIS
- Prepare daily / weekly MIS reports on import status, document pendency, and clearance timelines.
- Share updates with planning, stores, and production teams to ensure material availability.
Key Skills & Competencies
Technical Skills
- Strong knowledge of import documentation & customs procedures
- Understanding of HS codes, Incoterms, duty structure
- Experience with SAP / ERP systems and MS Excel
Behavioral Skills

Qualifications & Experience
- Graduate / Diploma (Commerce, Logistics, Supply Chain, or Engineering preferred)
- 3–5 years of experience in import documentation / logistics operations
- Experience in manufacturing or automotive industry is preferred
