1. Role Purpose To own the entire accounting, financial reporting, taxation and compliance function of the family office and every entity within the family's structure operating companies, holding companies, LLPs, private trusts, HUFs, investment vehicles, real estate SPVs and philanthropic entities and to give the principal a single, reliable, consolidated view of the family's financial position at any point in time. This is a control and stewardship role, not a transaction-processing role. The person is expected to be the family's most trusted financial custodian: precise, discreet, and able to say no or not yet to the Principal when the numbers require it.
2. Key Accountabilities 2.1 Books, Consolidation & Reporting
Own the books of account of all group and family entities, maintained on a common chart of accounts and a single accounting system.
Deliver a monthly consolidated family balance sheet, income statement and cash flow across entities, asset classes and jurisdictions, on a fixed calendar.
¢ Produce a monthly MIS pack for the Principal covering net worth movement, entity-wise performance, liquidity position, receivables/payables ageing, capital commitments and drawdowns.
¢ Maintain look-through consolidation across trusts, holding entities and investment vehicles so that beneficial exposure not just legal ownership is visible.
¢ Close the books within an agreed number of working days each month, and eliminate the practice of year-end catch-up accounting.
2.2 Investment & Portfolio Accounting
¢ Maintain investment accounting for listed securities, mutual funds, AIFs, PMS, bonds, unlisted and private equity holdings, direct deals and offshore portfolios.
¢ Reconcile custodian, broker, depository, PMS/AIF and offshore brokerage statements to the books on a monthly basis, without exception.
¢ Track cost basis, holding periods, corporate actions, dividends, interest accruals, capital calls, distributions and carry.
¢ Compute realised and unrealised gains, XIRR/TWR returns and asset-class-wise performance for review by the Principal and the Investment Committee.
¢ Maintain the capital commitment and drawdown schedule for private market positions and flag liquidity requirements in advance.
2.3 Taxation
¢ Own direct tax compliance for all entities and, where the family so directs, for individual family members: advance tax, TDS/TCS, returns, assessments, appeals and refunds.
¢ Own indirect tax compliance GST registrations, returns, reconciliations, input credit and departmental correspondence for entities carrying on business.
¢ Manage taxation of private trusts, including determinate/indeterminate trust characterisation, taxation of beneficiaries, distributions and Section 56(2)(x) exposure.
¢ Handle capital gains planning, set-off and carry-forward of losses, and tax-efficient sequencing of exits, in coordination with external tax counsel.
¢ Manage cross-border tax matters: DTAA positions, Form 15CA/15CB, foreign tax credits, Schedule FA disclosures, residency and POEM considerations, and reporting on offshore structures.
¢ Own transfer pricing documentation and related-party pricing across group entities.
¢ Manage assessments, scrutiny, search/survey response readiness and litigation support, with external counsel, and maintain a live tax litigation tracker with exposure quantification.
2.4 Regulatory & Statutory Compliance
¢ Ensure compliance under the Companies Act, 2013 for all group entities statutory registers, board and shareholder meetings, filings, CSR where applicable,
and related-party approvals in coordination with the Company Secretary.
¢ Ensure FEMA compliance for outbound and inbound flows: ODI, FDI, LRS remittances, Form FC-GPR/FC-TRS/APR/FLA, and RBI reporting.
¢ Ensure compliance for LLPs, HUFs, trusts and charitable entities, including Section 12A/12AB and 80G obligations, Form 10B/10BD and FCRA where applicable.
¢ Maintain a single compliance calendar across all entities, with owner, due date and evidence of filing, reviewed monthly.
¢ Ensure zero-default status on statutory dues and filings; any lapse is reported to the Principal immediately, not at year end.
2.5 Audit & Controls
¢ Manage statutory, tax and internal audits across entities; own the audit calendar, schedules and closure of observations.
¢ Design and enforce the internal financial control framework: delegation of authority, maker-checker, payment authorisation limits, segregation of duties and vendor onboarding.
¢ Institute controls specific to a family environment: personal versus entity expense discipline, inter-entity and family loan documentation, cash handling, and staff/household payroll.
¢ Maintain a documented accounting policy manual and standard operating procedures for the function.
2.6 Treasury, Banking & Cash Management
¢ Manage banking relationships, mandates, signatory matrices and account opening/closure across entities.
¢ Forecast cash on a rolling basis at entity and consolidated level; ensure that tax, capital call and debt servicing obligations are always funded ahead of time.
¢ Manage idle cash deployment within the mandate set by the Principal, and monitor debt facilities, covenants, security, interest servicing and repayment schedules.
¢ Track and reconcile inter-entity balances and loans, ensuring each is documented, priced and confirmed.
2.7 Real Estate & Operating Asset Accounting
¢ Maintain project and property accounting for owned real estate: capitalisation, project cost tracking, rental income, TDS on rent, property taxes, society dues, maintenance and statutory dues.
¢ Support development and acquisition transactions with financial diligence, cost workings, cash-flow models and post-transaction accounting integration.
2.8 Structuring, Succession & Advisory Support
¢ Support the Principal and external advisors on entity structuring, restructuring, succession planning, trust formation and estate matters from an accounting, tax and reporting standpoint.
¢ Maintain the family's structure chart, cap tables, shareholding records, trust deeds register and beneficiary schedules, and keep them current.
¢ Maintain a complete asset and liability register across the family, including insurance policies, lockers, physical assets, and nominee/beneficiary designations.
¢ Provide financial input on new investments, exits and philanthropic commitments, including post-tax return analysis.
2.9 Systems, Data & Team
¢ Select, implement and administer accounting, portfolio-tracking and reporting systems; move the function away from spreadsheet dependence.
¢ Build and lead the in-house accounts team recruitment, training, delegation and succession within the function.
¢ Appoint, brief and hold accountable external auditors, tax consultants, company secretaries and valuers; review their fees and performance annually.
¢ Maintain a complete, retrievable document archive: agreements, deeds, filings, assessment orders, statements and board records.
2.10 Confidentiality & Conduct ¢ Treat all family financial, personal and structural information as strictly confidential, both during and after employment.
¢ Operate under a standing confidentiality and non-disclosure obligation, including in respect of household and family office staff, external advisors and family members other than those authorised by the Principal.
¢ Disclose any personal conflict of interest, related-party dealing or outside engagement in writing, before it arises.
¢ Ensure no personal trading on information arising from the family's investment activity, in line with the family office's dealing policy.
- Candidate Profile
Mandatory
¢ Chartered Accountant, ICAI qualification is non-negotiable.
¢ 1015 years of post-qualification experience.
¢ Demonstrated ownership of a full accounting and tax function across multiple legal entities, not a functional slice of a large finance department.
¢ Working command of the Companies Act 2013, Income Tax Act, GST law, FEMA and the Indian Trusts Act as applied to private family structures.
¢ Hands-on experience of consolidation across entities and of investment/portfolio accounting.
¢ Practical experience of managing statutory audits, tax assessments and departmental correspondence independently.
Strongly Preferred
¢ Prior experience in a single or multi-family office, private trust company, promoter holding office, or the promoter-group finance function of a listed or large private group.
¢ Exposure to offshore structures, cross-border remittances and DTAA positions.
¢ Experience with private trusts, succession and estate matters.
¢ Prior Big 4 or reputed mid-tier firm training, followed by industry or family office experience.
¢ Real estate and project accounting exposure.
¢ Familiarity with Tally/ERP, portfolio management systems and reporting tools; comfort with automation and data hygiene.

¢ Absolute discretion. This is the primary hiring filter.
¢ Comfort operating with a small team and a wide span willing to prepare the schedule as well as review it.
¢ Direct, unfiltered communication with the Principal, including on unwelcome findings.
¢ Judgement to distinguish between aggressive and defensible tax positions, and the spine to hold the line.
¢ Long-term orientation. This is a stewardship role measured over years, not quarters.
¢ Stability of tenure in prior roles; frequent short stints will be viewed unfavourably.

First 90 Days
¢ Complete mapping of all entities, bank accounts, investments, liabilities and compliance obligations.
¢ Diagnostic report on the current state of books, reconciliations, open tax matters and control gaps, with a remediation plan.
First 12 Months
¢ Monthly close and consolidated MIS delivered on a fixed calendar without slippage.
¢ All custodian, broker and bank reconciliations current, with a defined escalation for breaks.
¢ Zero statutory defaults; compliance calendar fully operational.
¢ Documented internal control framework and accounting policy manual in force.
¢ Open tax and audit observations reduced against an agreed baseline.
¢ Accounting and reporting system implemented or upgraded, with spreadsheet dependence measurably reduced.
Ongoing
¢ Accuracy and timeliness of reporting to the Principal.
¢ Clean audit reports across entities.
¢ Quality of tax positions taken, tested over assessment cycles.
¢ Effectiveness of external advisor management, on both outcome and cost.

- Terms
¢ Compensation: fixed CTC plus a discretionary annual performance bonus, determined by the Principal.
¢ Standard benefits, including medical cover for the employee and immediate family.
¢ Employment is subject to satisfactory background verification, reference checks and execution of confidentiality, non-disclosure and non-solicitation undertakings.
¢ The role is based at the family office premises. Remote or hybrid arrangements are not contemplated.
