My Smart Aligners (MSA) is a rapidly growing clear aligner company from Tamil Nadu, India, focused on making premium orthodontic treatment more accessible through technology, clinical expertise, and efficient manufacturing.

With 10+ years of industry expertise, 2,000+ dental clinics, and operations across India and Malaysia, MSA operates its own CDSCO Class B certified clear aligner manufacturing facility, with capabilities spanning treatment planning, manufacturing, quality assurance, and clinical support.

The Office of the CEO serves as a central function for strategic initiatives, leadership coordination, cross-functional execution, governance, and organizational transformation.

- About the Role

We are looking for a highly organized, proactive, discreet, and professionally presented Executive Assistant to the CEO to work directly with the CEO and Office of the CEO. This is not a conventional secretarial role. The position requires strong ownership, executive coordination, follow-up, judgment, and the ability to convert CEO priorities and decisions into clear actions across departments.

The role will involve working closely with department heads, senior managers, investors, business partners, clients, consultants, vendors, and other external stakeholders in a fast-paced entrepreneurial environment.

Key Responsibilities

CEO Office & Executive Coordination

- Translate CEO instructions, priorities, and decisions into explicit action items.
- Coordinate with department heads and managers to drive execution.




- Maintain trackers for tasks, commitments, approvals, deadlines, and follow-ups.
- Monitor progress and escalate delays or critical matters to the CEO / Head – Office of the CEO.

Calendar & Meeting Management

- Manage and optimize the CEO's calendar based on business priorities.
- Schedule leadership reviews, investor meetings, client discussions, interviews, strategic sessions, and external appointments.
- Prepare agendas, presentations, reports, and briefing materials.
- Attend selected meetings, prepare Minutes of Meeting (MoM), document decisions and action items, and track closure.

Executive Documents & Communication

- Review documents submitted for CEO approval or signature for completeness, accuracy, and consistency.
- Coordinate corrections or missing information with relevant teams.
- Draft executive emails, letters, memos, reports, presentations, and meeting summaries.
- Ensure communication is concise, professional, and stakeholder-appropriate.

Stakeholder & Travel Coordination

- Coordinate with senior internal and external stakeholders on matters requiring CEO attention.
- Manage domestic and international travel including flights, hotels, transportation, visas, itineraries, meetings, and event logistics.
- Travel with the CEO when required.
- Coordinate CEO visitors, appointments, meeting rooms, and executive briefings.

Research & Executive Support

- Conduct research on companies, markets, competitors, technologies, vendors, partnerships, investors,



and industry developments.
- Convert research into concise executive summaries and briefing notes for decision-making.
- Coordinate CEO-related expenses, reimbursements, invoices, and documentation with Finance.
- Maintain confidential executive records, stakeholder information, and Office of CEO documentation.
- Confidentiality

The role will have access to highly confidential information relating to financials, employees, management discussions, business strategy, investors, partnerships, expansion plans, contracts, CEO correspondence, and leadership decisions. Absolute confidentiality, discretion, integrity, and professional judgment are essential.

Who We're Looking For

- Bachelor's degree in Business Administration, Management, Communications, or a related field.
- Prior experience as an Executive Assistant, Executive Personal Assistant, CEO Assistant, Executive Coordinator, or similar role.
- Experience supporting a CEO, Founder, CXO, Director, or senior executive is preferred.
- Excellent communication, organization, documentation, and follow-up skills.
- Strong calendar, meeting, travel, stakeholder, and task management abilities.
- Proficient in Microsoft Office / Google Workspace, Excel, PowerPoint, Outlook, Google Calendar, and Google Sheets.
- Highly trustworthy, proactive, detail-oriented, and calm under pressure.
- Comfortable working across functions, handling changing priorities, and maintaining confidentiality.
- Professionally presented and willing to travel as required.
