About the Role
We're hiring an experienced, highly capable Executive Assistant to work directly with our Managing Director. This is not a conventional organizing-and-scheduling role — the EA is expected to actively manage information: pulling data and reports from various sources, filtering out the noise, and presenting only what's relevant and decision-ready. Alongside this, the role owns delegation tracking and follow-up across the team, and acts as the coordination point between the MD and the rest of the organization.
What You'll Do
- Gather data and information from multiple sources (reports, emails, spreadsheets, web research) and distil it into explicit, relevant summaries for the MD — not raw dumps of information.
- Filter and prioritize incoming information, flagging only what genuinely needs the MD's attention or decision.
- Prepare structured summaries, briefs, and simple analyses (using Excel — pivot tables, VLOOKUP/HLOOKUP, linked sheets) to support decision-making.
- Track every task the MD delegates across the team — log commitments, follow up on deadlines, and escalate what's at risk.
- Coordinate across teams and departments on the MD's behalf, ensuring tasks are actioned and deadlines are met without constant reminders.
- Manage the MD's calendar, inbox, and incoming calls; draft and send correspondence on their behalf.
- Liaise with team members and, over time, with clients to follow up on action items — representing the MD's instructions accurately.
- Handle a mix of professional and personal coordination for the MD (scheduling, bookings, errands, and similar tasks).
- Maintain a running delegation/follow-up log and report status proactively, without being chased for updates.
What We're Looking For
- 5+ years of experience as an Executive Assistant or senior coordinator supporting senior leadership, ideally including exposure to reporting, MIS, or data-heavy coordination work.
- A strong academic background — graduate degree required; additional qualification in business administration, secretarial studies, or a related field is a plus.
- Outstanding follow-up and task-tracking skills — this is the single most important requirement for the role.
- Strong working knowledge of Excel (pivot tables, VLOOKUP/HLOOKUP, linking sheets) and comfort working with data — able to filter, organize, and summarize information rather than just relay it.
- Proven experience coordinating across teams and getting work done through others, including at senior levels.
- Strong written and spoken English, with the judgment to know what's relevant to escalate and what isn't.
- A stable work history, with clear reasons for any job changes.
- High integrity and discretion — this role involves handling sensitive information and speaking on the MD's behalf.
