Job Summary
The Admin Officer will be responsible for managing day-to-day administrative operations, ensuring smooth functioning of the office, coordinating with vendors and service providers, maintaining records and assets, and supporting various departments with administrative requirements. The role requires strong organizational skills, attention to detail, and the ability to handle multiple responsibilities efficiently.
Responsibilities
- Manage day-to-day office administration and ensure smooth office operations.
- Coordinate with vendors, facility management teams, and service providers.
- Handle office maintenance, housekeeping, security, and infrastructure requirements.
- Manage procurement of office supplies, stationery, consumables, and equipment.
- Maintain records of office assets, inventory, and vendor contracts.
- Process and track administrative expenses, purchase requests, and invoices.
- Coordinate travel bookings, hotel reservations, and logistics for employees and visitors.
- Ensure proper maintenance of company vehicles, insurance, and related documentation.
- Support HR and Accounts teams with administrative documentation and coordination.
- Maintain employee attendance records and administrative reports as required.
- Coordinate courier, dispatch, and document management activities.
- Handle visitor management and front-office administration.
- Ensure compliance with company policies and office safety standards.
- Maintain organized filing systems and administrative records.
- Assist management with special projects and operational requirements.
Requirements
Required Qualifications
- Graduate in any discipline.
- 2-4 years of experience in Administration, Facilities Management, or Office Operations.
- Positive knowledge of vendor management and procurement processes.
- Proficiency in MS Office (Excel, Word, Outlook).
- Strong organizational and coordination skills.
- Good communication and interpersonal abilities.
- Ability to manage multiple tasks and meet deadlines.
- Attention to detail and problem-solving mindset.
- Fluency in English and Hindi.
Preferred Qualifications
- Experience working in an IT, Technology, Distribution, or Trading organization.
- Knowledge of facility management and office infrastructure administration.
- Experience in handling travel, logistics, and asset management.
- Familiarity with ERP systems and administrative reporting tools.
- Understanding of statutory documentation related to office administration.
