Executive & Personal Assistant to the CEO
Location: Noida
Employment Type: Full-time
Reporting To: Chief Executive Officer
Experience: 2-7 years preferred
Travel: Willingness to travel domestically and internationally as required
Role Overview
We are looking for a highly organized, proactive, discreet, and dependable Executive & Personal Assistant to the CEO.
This is a high-trust role responsible for helping the CEO manage both professional priorities and selected personal matters so that the CEO can operate efficiently and focus on high-value business activities.
The ideal candidate will be comfortable working in a fast-paced environment, managing changing priorities, coordinating across multiple stakeholders, handling confidential information, and taking ownership of tasks from start to finish.
The role requires solid judgment, attention to detail, flexibility, excellent communication skills, and a willingness to travel with or on behalf of the CEO when required.
Key ResponsibilitiesExecutive & Calendar Management
- Manage the CEO’s calendar, appointments, meetings, and daily priorities.
- Coordinate internal and external meetings across multiple stakeholders and time zones.
- Proactively identify scheduling conflicts and recommend solutions.
- Ensure the CEO is prepared for meetings with agendas, documents, background information, and relevant updates.
- Protect the CEO’s time by helping prioritize requests and commitments.
- Manage last-minute changes to schedules efficiently and calmly.
Communication & Stakeholder Coordination
- Act as a key coordination point between the CEO and employees, senior leaders, clients, partners, advisors, and other external stakeholders.
- Draft and review emails, correspondence, presentations, meeting notes, and other business communications.
- Track important requests, commitments, and follow-ups involving the CEO.
- Ensure key communication and action items are completed on time.
- Maintain professional and responsive communication with internal and external stakeholders.
Meeting & Follow-Up Management
- Prepare meeting agendas and supporting materials.
- Attend selected meetings and document key decisions, action items, and deadlines.
- Maintain trackers for commitments, priorities, and follow-ups.
- Follow up with relevant team members to ensure agreed actions are completed.
- Help the CEO stay informed on important pending decisions and deadlines.
Personal Assistance & Lifestyle Coordination
- Manage selected personal administrative matters for the CEO.
- Coordinate personal appointments, reservations, personal travel, and day-to-day logistics.
- Assist with personal purchases, renewals, documentation, bookings, and other administrative requirements.
- Coordinate with household staff, vendors, service providers, or other personal contacts when required.
- Handle ad hoc personal errands and coordination requests.
- Maintain appropriate discretion and confidentiality regarding all personal matters.
- Take ownership of personal tasks and ensure they are completed accurately and on time.
Travel & Logistics
- Coordinate domestic and international business and personal travel.
- Arrange flights, hotels, transportation, visas, itineraries, meetings, and other travel requirements.
- Prepare detailed travel schedules and ensure all necessary documentation is available.
- Manage last-minute changes, cancellations, and travel disruptions.
- Be willing to travel with the CEO when business requirements call for it.
- Be comfortable with domestic and international travel, including occasional short-notice travel.
CEO Office & Business Support
- Support the CEO with research, reports, presentations, and special projects.
- Coordinate leadership meetings, company events, offsites, and important external engagements.
- Maintain confidential business records and executive documentation.
- Help coordinate CEO-sponsored initiatives across departments.
- Track key priorities and ensure important matters continue moving forward.
- Assist with miscellaneous business requirements that enable the CEO to operate efficiently.
Flexibility & Availability
Given the nature of the role, the successful candidate should be comfortable with a degree of flexibility.
This may include:
- Occasional early-morning or evening coordination.
- Availability during travel or important business periods.
- Occasional weekend support when genuinely required.
- Managing urgent changes outside standard office hours.
- Travelling domestically or internationally with reasonable notice.
The role is not intended to require constant 24/7 availability, but it does require someone who understands the flexibility associated with directly supporting a CEO.
Confidentiality & Professionalism
- Handle sensitive business, financial, personnel, and personal information with the highest level of discretion.
- Exercise sound judgment regarding confidential matters.
- Understand when to act independently and when to escalate to the CEO.
- Maintain professional boundaries and represent the CEO appropriately.
- Demonstrate maturity, reliability, and integrity in all interactions.
Required Qualifications
- Bachelor’s degree or equivalent relevant qualified experience.
- Approximately 3–7 years of experience in executive assistance, personal assistance, administration, business coordination, operations, or a similar role.
- Previous experience supporting a CEO, founder, promoter, senior executive, or business owner is strongly preferred.
- Excellent written and verbal communication skills.
- Strong calendar, travel, meeting, and time-management capabilities.
- Strong proficiency with Microsoft Office and/or Google Workspace.
- Ability to prepare professional presentations, reports, trackers, and business documents.
- Strong attention to detail and organizational ability.
- Ability to manage multiple priorities simultaneously.
- Comfortable handling both professional and personal responsibilities.
- Valid passport and willingness to travel domestically and internationally as required.

Pay: ₹14,616.08 - ₹52,516.85 per month
