JOB DESCRIPTION – STORES OFFICER

Department: Stores / Inventory
Designation: Stores Officer
Location: Turbhe, Navi Mumbai
Experience: 3–5 Years
Employment Type: Full-Time
Reporting To: Manufacturing Operations Manager / Head – Operations

Job Summary

We are looking for an experienced and detail-oriented Stores Officer to manage the day-to-day stores and inventory activities for our engineering and manufacturing operations.

The candidate will be responsible for material receipt, inward documentation, storage, inventory control, BOM-based material kitting, material issue/return, ERP transactions, stock reconciliation and traceability.

The role requires close coordination with PPC, Procurement, Quality, Assembly, CNC, Design, Automation and Customer Service to ensure timely material availability for production and assembly.

Key Responsibilities

1. Material Receipt & Inward Management

- Receive materials and verify quantity, part description, PO, delivery challan, invoice and physical condition.
- Prepare GRNs (Goods Receipt Notes) accurately and on time.
- Coordinate with Quality/Inspection for incoming material verification.
- Clearly identify material as accepted, rejected, under inspection or quarantine.
- Report shortages, excess quantities, damages, incorrect supplies and documentation discrepancies.
- Maintain records for rejected/defective materials and support the return-to-vendor process.

2. Storage & Material Management

- Maintain proper bin locations for engineering components, electrical items, instruments, bearings, seals, tools and consumables.
- Ensure all materials are properly labelled with part number, description, quantity and status.
- Follow FIFO/FEFO wherever applicable.
- Ensure proper preservation of materials against rust, moisture, dust and damage.
- Maintain separate areas for accepted, rejected, quarantine, returnable, customer-supplied, scrap and non-conforming materials.
- Maintain proper housekeeping and 5S standards in the stores area.

3. BOM-Based Kitting & Production Support

- Review approved BOMs, machine/project priorities and PPC schedules.
- Prepare machine-wise/project-wise material kits as per BOM and assembly requirements.
- Identify material shortages, incorrect quantities and unavailable critical items in advance.
- Reserve and issue materials against the correct machine, project or authorised requisition.
- Coordinate urgent material requirements while maintaining ERP and documentation controls.

Material Issue, Return & Movement

- Issue materials only against authorised requisitions, BOM requirements, job orders or approved instructions.
- Record all material issues, returns, transfers and adjustments in ERP on the same day.
- Verify unused materials returned from Assembly, CNC, Automation, service activities or customer sites.
- Maintain records of materials sent to suppliers, job workers, customer sites and other locations.
- Prevent unauthorised material movement or informal borrowing of materials/tools.

5. Inventory Control & Reconciliation

- Ensure physical stock, bin records and ERP quantities are accurately maintained.
- Conduct regular cycle counts and physical stock verification.
- Investigate stock discrepancies and prepare reconciliation reports.
- Support ABC classification and minimum/maximum stock-level reviews.
- Prepare reports for slow-moving, non-moving, excess, obsolete, damaged and unidentified inventory.
- Maintain proper records of scrap generation, segregation and disposal.

6. Documentation & Audit

- Maintain GRNs, issue notes, return notes, transfer records, delivery challans and job-work records.
- Ensure all stores documentation is complete, accurate and traceable.
- Support internal, statutory, quality and customer audits.
- Coordinate with Procurement regarding shortages and receipt discrepancies.
- Coordinate with PPC for material readiness and with Quality regarding inspection status.
- Support packing and dispatch documentation wherever required.

7. Safety & Team Coordination

- Follow safe material handling, stacking, lifting and movement practices.
- Ensure required PPE is used within the stores area.
- Maintain transparent aisles, marked storage areas and fire-safety access.
- Coordinate the daily activities of Stores Assistants/Helpers.
- Support training of stores personnel in material identification, documentation, ERP processes and 5S.
- Immediately report unsafe conditions, material damage, leakage or deterioration.

Required Qualifications

- Diploma / Graduate in Materials Management, Supply Chain,



Logistics, Commerce, Mechanical/Production Engineering or a related discipline.
- 3–5 years of experience in Stores, Inventory Control or Engineering Stores.
- Experience in engineering equipment, machinery or manufacturing industries will be preferred.
- Strong Diploma candidates with relevant hands-on experience may also be considered.

Required Skills

- Practical knowledge of ERP-based inventory management.
- Experience with GRNs, material issues, returns, transfers and stock reconciliation.
- Good knowledge of MS Excel.
- Ability to understand BOMs, part numbers and engineering component descriptions.
- Basic ability to understand engineering drawings/specifications.
- Knowledge of FIFO/FEFO, ABC classification, bin-location management and cycle counting.
- Strong inventory control and documentation skills.
- Good communication and coordination skills.
- High attention to detail and ownership.
- Ability to work effectively with Production, PPC, Procurement, Quality and Engineering teams.
