About the role :

We’re looking for sharp, high-ownership candidates who thrive in fast-paced, high-accountability environments and enjoy being at the centre of how things get done.

The role sits at the intersection of the Founder’s Office, execution, and business operations — spanning brand, retail, product, marketing, and people. It combines the strategic visibility and ownership of an EA with the hands-on, execution-driven nature of a Founder’s Office role.

This is a role for someone who can think quickly, bring structure to ambiguity, and move seamlessly between the big picture and the smallest detail.

It’s not about simply managing a calendar or following up on tasks. It’s about creating clarity, protecting the Founder’s time, anticipating what needs to happen next, and ensuring things actually move forward.

Some days, that could mean restructuring a packed calendar or preparing the Founder for an important meeting. Other days, it could mean stepping into a business problem, coordinating with multiple teams, and driving it to closure.

You should be someone who:

- Naturally brings order to chaos

- Doesn’t wait to be told what to do

- Picks up problems before they become bigger problems

- Can switch between strategy, execution, and detail with ease

- Is comfortable working with incomplete information and ambiguity

- Has a strong sense of ownership and urgency

- Takes satisfaction in seeing things through to completion

What You’ll Do

1. Own the Founder’s time and priorities

- Manage the Founder’s calendar across multiple business functions

- Prioritise what needs attention and what can wait

- Anticipate conflicts, dependencies, and upcoming priorities

- Ensure the Founder is prepared for key meetings and decisions

2. Drive structure and follow-through

- Track important projects and priorities across the organisation

- Build simple trackers, action plans, and systems to bring visibility

- Follow up with stakeholders and ensure commitments translate into action

- Identify things that are stuck and proactively push them forward

3. Operate the Founder’s Office

- Prepare meeting agendas, context, data, and relevant materials

- Capture key decisions and translate them into clear next steps

- Coordinate across teams to ensure alignment and execution

- Build lightweight processes that make the Founder’s Office more effective

4. Step into business-critical initiatives

- Take ownership of projects that require cross-functional coordination

- Conduct research, analyse information, and support decision-making

- Work closely with teams across brand, retail, product, marketing, and people

- Step in wherever additional ownership is needed to create momentum

5. Be an extension of the Founder

- Communicate with clarity, maturity, and precision

- Represent the Founder’s priorities and intent accurately

- Anticipate needs rather than waiting for instructions

- Build trust through discretion, reliability, and consistent execution

Who We’re Looking For

We’re looking for 2-6 years of experience in environments where the pace is high and the expectation for ownership is even higher.

You’ll do well in this role if you are:

- Sharp and intellectually curious

- Highly organised without being rigid

- Comfortable with ambiguity and changing priorities

- Extremely detail-oriented with strong follow-through

- A clear and thoughtful communicator

- Calm under pressure and able to operate with urgency

- Someone who takes ownership rather than waiting for direction

- Comfortable working directly with senior leadership

Bonus if you have experience in:

- Founder’s Office / Business Operations

- Consulting or other high-ownership environments

- Startups or fast-growing businesses

- Consumer, retail, or D2C businesses

What This Role Is Not

This is not a traditional Executive Assistant role.

It is not just calendar management, coordination, or administrative support.

At the same time, it is not a purely strategic role where you advise from the sidelines.

It sits right in the middle of thinking, ownership, execution, and momentum — and requires someone who is willing to get into the details and make things happen.

Why HUFT?

At Heads Up For Tails, you’ll get a front-row seat to how a fast-growing, purpose-led consumer brand is built — across brand, retail, product, people, and business.

Working directly with the Founder means high visibility, high responsibility, and the chance to understand how decisions are made and translated into action.

If you’re someone who thinks fast, moves with intent, brings structure to ambiguity, and genuinely enjoys making things happen, this could be the role for you.
