Position Summary:
The Associate I, Recruitment Operations supports Talent Acquisition by coordinating the administrative and operational activities required to open, post, screen, and move requisitions through the recruiting process. This role partners closely with recruiters, recruiting leadership, and support teams to ensure requisitions are prepared accurately, job postings are complete, candidate information is organized, and offer preparation activities are executed with strong attention to detail.
This role is responsible for high-quality recruiting administration, including requisition setup support, job description refinement, posting coordination, prescreening question setup, candidate shortlisting assistance, offer preparation support, and years-of-experience calculations. Success requires accuracy, confidentiality, responsiveness, strong organization, and the ability to follow defined processes in a high-volume recruiting environment.
Responsibilities:
Requisition & Posting Support
- Support recruiters with requisition setup, preparation, and routing activities to ensure required information is complete and ready for posting.
- Refine job descriptions for clarity, formatting, alignment to approved templates, and readiness for internal or external posting.
- Coordinate posting activities and help ensure job postings reflect accurate title, location, work model, role requirements, and screening criteria.
Candidate Screening & Recruiter Support
- Set up prescreening questions and related screening criteria in alignment with recruiter guidance and hiring requirements.
- Assist recruiters by reviewing candidate information against stated qualifications and preparing shortlists of potentially qualified candidates for recruiter review.
- Maintain accurate candidate, requisition, and workflow documentation in applicant tracking systems and shared trackers.
- Offer Preparation & Administrative Coordination
- Assist with preparing offer materials and supporting documentation in accordance with established Talent Acquisition processes.
- Conduct years-of-experience calculations and related candidate data checks to support consistent offer preparation and compensation review processes.
- Track assigned administrative tasks, follow up on missing information, and escalate issues that could delay requisition posting, candidate movement, or offer preparation.
- Process Quality, Compliance & Partnership
- Follow standard operating procedures, documentation requirements, and confidentiality expectations when handling candidate and requisition information.
- Partner with recruiters and Recruiting Ops & Tech team members to identify opportunities to improve process consistency, cycle time, quality, and service experience.
- Support recurring reporting, audits, process checks, and operational clean-up activities as needed.
- Education & Experience:
- Bachelor's degree in Human Resources, Business Administration, Operations, Psychology, Communications, or a related field; equivalent experience may be considered.
- Typically 1+ year of experience in recruiting coordination, HR administration, talent acquisition operations, shared services, customer support, or administrative operations.
- Experience supporting high-volume administrative workflows, data entry, documentation, or process coordination in a deadline-driven environment.
- Exposure to recruiting processes, requisition management, candidate tracking, or HR systems is preferred but not required.
Must Have Skills
- Solid attention to detail and accuracy when reviewing requisition, job description, candidate, and offer-related information.
- Strong organization skills with the ability to manage multiple administrative tasks, priorities, and follow-ups simultaneously.
- Clear written and verbal communication skills, with the ability to provide timely updates to recruiters and stakeholders.
- Ability to follow defined processes, checklists, and service standards in a high-volume recruiting environment.
- Comfort working with applicant tracking systems, HR systems, Microsoft Office, Excel, shared trackers, and collaboration tools.
- Ability to handle confidential candidate and hiring information with professionalism and discretion.
Nice to Have Skills
- Prior experience as a recruiting assistant, recruiting coordinator, HR coordinator, HR operations associate, or administrative support specialist.
- Experience using applicant tracking systems such as Workday, Oracle, Taleo, iCIMS, or similar platforms.
- Experience supporting job postings, prescreening questions, candidate screening, offer preparation, or years-of-experience calculations.
- Prior experience in healthcare, shared services, global capability center operations, or a highly regulated environment.
- Working knowledge of recruiting compliance, documentation standards, or structured hiring workflows.
