ROLE OVERVIEW

We are looking for a hands-on Clinic Operations & Patient Relations Manager to run the day-to-day functioning of the clinic end-to-end. This role owns operations — stock, housekeeping, and staff coordination — while also being the face of the clinic for enquiring patients, responsible for counselling them and converting enquiries into confirmed treatments and memberships. This is a high-ownership, high-visibility role suited to someone equally comfortable managing people and processes, and closing a sale.

KEY RESPONSIBILITIES

Clinic Operations

- Manage stock and inventory of medicines, oils, and consumables — track usage, reorder in time, and prevent stock-outs or wastage.
- Oversee housekeeping standards across therapy rooms, consultation rooms, and common areas, ensuring the clinic is always presentation-ready.
- Ensure therapy rooms are set up, equipped, and turned around properly between patients.
- Coordinate with vendors and suppliers for timely procurement of clinical and non-clinical supplies.

Staff & Schedule Coordination

- Coordinate daily schedules and allocation of therapists to patients and therapy rooms.
- Coordinate with doctors on consultation slots, patient flow, and follow-up scheduling.




- Supervise front-desk and reception staff — appointment booking, phone/WhatsApp enquiries, and walk-in handling.
- Manage attendance, discipline, and day-to-day performance of therapists and support staff.
- Be the single point of contact who keeps doctors, therapists, and front desk working in sync through the day.

Patient Counselling & Sales

- Counsel walk-in and enquiring patients on suitable treatments, therapy plans, and membership packages.
- Convert consultations and enquiries into confirmed bookings, therapy packages, and membership sign-ups.
- Explain pricing, packages, and payment options clearly and confidently, and close payments.
- Follow up on pending enquiries and leads to maximise conversion.
- Work towards monthly footfall, conversion, and revenue targets set by management.

Administration & Compliance

- Use the clinic management software for scheduling, invoicing, and basic reporting.
- Maintain petty cash, daily collections, and basic administrative records.
- Ensure hygiene, waste-disposal, and clinic protocols are followed by all staff.
- Flag issues — staffing, stock, patient complaints, or facility — to management promptly, with solutions.
