Key Responsibilities

A. Reception & Front Office
Manage the reception area and ensure a qualified first impression for visitors.
Greet and assist visitors, customers, vendors, and other guests.
Maintain the visitor entry and exit records.
Handle incoming and outgoing telephone calls and direct them to the appropriate person.
Receive and distribute courier, letters, and other communications.
Coordinate visitor appointments and meeting arrangements.
Maintain a clean, organized, and presentable reception area.

B. Administrative Support
Provide day-to-day administrative support to the HR & Administration department.
Maintain office records, files, registers, and documents.
Prepare letters, notices, reports, and other routine documents as required.
Coordinate office stationery and other administrative requirements.
Assist in maintaining records of office assets, equipment, and other facilities.
Coordinate with vendors and service providers for routine administrative requirements.
Support meeting arrangements, refreshments, and other office requirements.




Assist in organizing employee engagement activities and company events.

C. Communication & Coordination
Coordinate with employees, departments, vendors, and visitors professionally.
Respond to routine queries and direct matters to the appropriate department.
Maintain proper communication flow between the reception and internal departments.
Follow company policies, procedures, and administrative protocols.

D. Documentation & MIS
Maintain accurate records and registers related to reception and administration.
Prepare basic MIS reports using MS Excel.
Maintain employee, visitor, courier, and other administrative records as assigned.
Ensure timely updating and filing of documents.

Required Skills
Good verbal and written communication skills.
Pleasant personality and qualified attitude.
Basic to valuable knowledge of MS Office, especially Excel and Word.
