Employment Type: Full-Time

ROLE PURPOSE

The Accounts Executive will be responsible for managing the day-to-day accounting and financial operations of the Artemis Hospital site, ensuring accurate billing, payment tracking, cash management, reconciliations, food-cost reporting and timely submission of financial records to the central accounts team.

KEY RESPONSIBILITIES1. Daily Accounts & Cash Management

- Verify daily cash collections and ensure all transactions are properly recorded.
- Verify cash deposits and maintain proper deposit records.
- Monitor and follow up on transactions showing Pending status.
- Conduct regular cash verification and report discrepancies immediately.
- Ensure all POS transactions are properly punched and reconciled.
- Maintain daily site-wise accounts records.

2. Event Billing & Collections

- Prepare and generate bills for Cash, Credit and PO events.
- Ensure event billing is completed accurately and on time.
- Maintain the Event Sheet and update payment status regularly.
- Follow up with clients for pending event payments.
- Track all credit events, POs, invoices and outstanding payments.
- Escalate payments pending beyond the defined timeline.

3. Food Cost & Site Reporting

- Prepare and update daily site-wise food cost based on previous day's operations.
- Maintain accurate purchase, consumption and sales data required for food-cost calculation.
- Prepare monthly consolidated food-cost reports.
- Highlight unusual food-cost variations to the Operations / Accounts Head.
- Ensure proper coordination between procurement, stores, operations and accounts for accurate reporting.

4. VOW-OS & POS Operations

- Process approved payments through VOW-OS Apps on priority.
- Ensure POS systems are operational and all sales are billed correctly.
- Verify POS sales against cash/card/other payment collections.




- Identify and report system-related discrepancies.
- Maintain required IT / VOW asset-related records in coordination with the concerned team.

5. Reconciliation & Outstanding Management

- Reconcile daily cash collections and deposits.
- Reconcile credit-event payments and outstanding balances.
- Verify bank deposits against recorded collections.
- Follow up on outstanding receivables from Artemis and other clients, wherever applicable.
- Conduct periodic random cash audits.
- Ensure all outstanding items are tracked until closure.

6. Salary & Employee-Related Accounts

- Verify and process approved cash salary payments, wherever applicable.
- Maintain records of employees paid through cash.
- Verify monthly employee salary deductions and coordinate with HR / Accounts for closure.
- Coordinate for staff accommodation payments and related records, wherever applicable.

7. Documentation & Record Keeping

- Maintain proper records of:
- Event bills
- POs
- Credit invoices
- Cash deposits
- Payment receipts
- Outstanding statements
- Food-cost reports
- POS reports
- Reconciliation statements
- Employee-related payment records
- Ensure all supporting documents are filed systematically and are readily available for audits.

- Outstanding payment review
- Random cash audit
- Review of pending accounting issues with Operations / Accounts Head

MONTHLY RESPONSIBILITIES

- Consolidated site-wise food-cost report
- Event-sheet closure with Operations
- Salary / cash-payment verification
- Employee deduction verification
- Staff accommodation payment coordination
- Monthly outstanding reconciliation
- Monthly accounts documentation and reporting
- VOW asset / IT-related records coordination

REQUIRED SKILLS & QUALIFICATIONS

- Graduate in B.Com / M.Com / Finance / Accounting or equivalent.
- 2–4 years of relevant experience in accounts, preferably in hospitality, F&B;, healthcare or multi-site operations.
- Positive knowledge of MS Excel and accounting processes.
- Experience with POS / billing systems will be preferred.
- Strong understanding of cash handling, billing, reconciliation and receivables.
- Valuable numerical and analytical skills.
- Strong attention to detail and documentation.
- Ability to coordinate effectively with Operations, HR, Procurement, Stores, clients and the central Accounts team.

- 100% accuracy in billing and accounting records.
- Timely completion of daily, weekly and monthly reports.
- Zero unexplained cash discrepancies.
- Timely closure of outstanding payments.
- Accurate and timely food-cost reporting.
- Proper documentation of all financial transactions.
- Timely escalation of financial discrepancies and pending items.
