Job Overview

iRecord InfoTech Solutions is looking for a detail-oriented, numbers-driven, and responsible Data Onboarding Specialist to join our team. The role involves onboarding clients' investment and portfolio data into our iRecord portfolio accounting platform.

You will work with data received from brokers, depositories, AMCs, banks, and clients, and will be responsible for collecting, organising, mapping, cleaning, validating, reconciling, and importing this information into the system.

The role is particularly suited for someone who enjoys working with numbers, Excel, financial data, and technology, and who has a robust eye for detail. You will play an important role in ensuring that every client portfolio is accurate, complete, reconciled, and ready for reporting.

You will essentially act as the bridge between raw financial data and a clean, accurate portfolio inside iRecord.

Key Responsibilities 1. Client Data Onboarding

- Onboard clients' investment and financial data into the iRecord platform.
- Work with various asset classes, including equities, mutual funds, bonds, F&O;, and other investment instruments.
- Understand the source data and ensure it is correctly captured within the system.
- Follow defined onboarding processes, templates, and SOPs for each portfolio.

2. Data Collection & Organisation

- Collect and organise source documents received from clients and financial institutions.
- Work with documents such as:
- Broker Contract Notes
- Broker Ledgers
- CDSL/NSDL Demat Statements
- Mutual Fund Statements
- CAMS/KFintech Statements
- Bank Statements
- Capital Gains Statements
- Transaction Reports
- Other investment-related records

- Ensure all required data and documents are available before beginning the onboarding process.

3. Data Mapping & Cleaning

- Map data received in different broker, bank, AMC, and depository formats into the required iRecord import formats.
- Clean and standardise raw data before importing it into the system.
- Identify duplicate, missing, incomplete, or inconsistent records.
- Ensure correct mapping of security names, ISINs, quantities, transaction dates, rates, amounts, charges, and other relevant fields.
- Work with Excel and other tools to manipulate and prepare large volumes of financial data.

4. Reconciliation & Validation

- Reconcile opening balances, holdings, transactions, purchases, sales, charges, dividends, corporate actions, and other relevant portfolio information.
- Verify that the data imported into iRecord matches the original source documents.




- Identify and investigate differences between broker/depository records and system records.
- Ensure portfolio balances and transactions are properly tallied before completion.
- Perform quality checks to ensure that reports generated from the onboarded data are accurate.

5. Data Quality & Accuracy

- Review every completed onboarding for accuracy, completeness, and consistency.
- Conduct pre-import and post-import validation checks.
- Identify errors before the portfolio is handed over to the client or relationship team.
- Maintain a high level of accuracy while working with confidential financial information.
- Perform periodic data-quality checks and audits of onboarded portfolios.

6. Coordination

- Coordinate with clients, Relationship Managers, Operations, and internal teams to obtain missing information or resolve discrepancies.
- Clearly communicate pending requirements and data issues.
- Follow up on missing documents and information within defined timelines.
- Escalate complex or unresolved discrepancies to the appropriate senior team member.

7. Documentation & Reporting

- Maintain proper records of all onboarding activities and source documents.
- Maintain onboarding checklists and status trackers.
- Prepare basic reports relating to:
- Onboarding status
- Pending documents
- Data discrepancies
- Completed portfolios
- Pending reconciliations

- Provide regular updates to the reporting manager regarding assigned portfolios.

8. Process Compliance

- Follow established Standard Operating Procedures (SOPs) and data-processing guidelines.
- Complete assigned portfolios within defined Turnaround Times (TATs).
- Maintain consistency in the onboarding process across different clients and data sources.
- Suggest improvements to processes wherever recurring data issues or inefficiencies are identified.

9. Confidentiality & Data Security

- Handle client financial and investment information with strict confidentiality.
- Follow internal policies relating to data security and access control.
- Ensure client information is not shared or disclosed without proper authorisation.
- Maintain professional care while handling sensitive financial records.

Additional Responsibilities

- Support the team in other data-related, reconciliation, reporting, and administrative activities as required.
- Assist in testing new data formats, import templates, and software features.
- Learn new processes, financial instruments, broker formats, and software functionality as the business evolves.

Skills & Qualifications

- Freshers are welcome to apply.
- Graduate in any discipline.
- Candidates from Commerce/Finance backgrounds (B.Com, BAF, BBI, BFM, etc.) will be preferred.
- Good working knowledge of MS Excel, including:
- VLOOKUP/XLOOKUP
- Pivot Tables
- Sorting & Filtering
- Conditional Formatting
- Data Cleaning
- Basic formulas

- Good typing and data-entry speed with a strong focus on accuracy.
- Comfortable working with numbers, spreadsheets, and large volumes of financial data.
- Strong attention to detail and ability to identify small discrepancies.
- Good communication and coordination skills.
- Ability to follow processes and work within defined TATs.
- Ability to work independently as well as collaboratively within a team.
- Willingness to learn new software, tools, and processes.
- Basic knowledge of data management, investment accounting, or portfolio management will be an added advantage.

The ideal candidate should enjoy working with numbers and financial data and should have the patience to investigate discrepancies rather than simply entering data. Accuracy and ownership are more important than just data-entry speed.

You should be comfortable asking questions when something does not tally, following a structured process, and taking responsibility for ensuring that the portfolio assigned to you is properly onboarded and reconciled.
